- Summary of the main function/purpose of the position:
The Courtesy Patrol Administrator is responsible for the administrative functions and operational support of the Courtesy Patrol team. This role ensures the timely processing of bi-weekly payroll, manages timekeeping adjustments, oversees uniform distribution and inventory, and maintains a professional office environment by managing office supply orders. A key aspect of this position is the ability to write detailed, accurate, and professional incident reports to document activities and events effectively.
Key Principal duties/responsibilities
Administrative Duties:
- Process bi-weekly payroll, ensuring all employee time records are accurate and submitted on time.
- Review and track PTO (Paid Time Off) forms for approval and accuracy.
- Manage and process Time Adjustment Sheets to ensure accurate payroll calculations.
- Maintain organized records of all timekeeping documents, incident reports, and administrative forms.
- Generate, track, and maintain purchase orders for equipment, supplies, and vendor work requests.
- Ensure that all regularly utilized forms, documents, and passes are in inventory and ready to be dispersed.
Office Supply & Uniform Management:
- Order and maintain inventory of office supplies necessary for the department’s operations.
- Distribute uniforms to new employees and coordinate replacement or updated items for current staff.
- Conduct routine uniform inventory checks to ensure adequate stock and monitor uniform conditions.
Incident Reporting:
- Write detailed, professional, and accurate incident reports documenting activities, events, or issues related to patrol operations.
- Ensure reports are grammatically correct, factual, and presented in a clear and concise format for management review.
- Assist team members in ensuring all incidents are reported in compliance with company policies.
Operational Support
- Serve as a point of contact for administrative inquiries within the Courtesy Patrol team.
- Collaborate with the Courtesy Patrol Supervisor(s) to ensure smooth day-to-day operations of the department.
- Provide occasional support in scheduling and coordination for the Courtesy Patrol team as needed.
Qualifications
Education & Experience:
- A high school diploma or GED required additional coursework in business administration or a related field preferred.
- Minimum of 2 years of experience in an administrative or operational support role, preferably within a security or patrol environment.
Skills & Competencies:
- Strong attention to detail and organizational skills.
- Exceptional written communication skills, particularly in drafting professional reports.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with payroll processing systems and timekeeping software is a plus.
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong interpersonal skills to interact with team members and management effectively.
Physical Requirements:
- Ability to sit for extended periods to complete administrative tasks.
- Occasional light lifting of office supplies or uniform inventory (up to 20 lbs).
Work Environment:
- This position is based in an office setting but may require occasional interaction with the field team.
