A Surgery Scheduling Counselor is responsible for scheduling patients’ surgery, (including out of town surgeries) and giving patients detailed information and instructions on their pending surgery or medical tests. They verify medical insurance coverage and advise patients of their insurance benefits and the costs involved with the procedures.
DUTIES AND RESPONSIBILITIES:
- Counsels ophthalmic patients regarding their upcoming surgery, reviewing lens options chosen by their physician, insurance coverage, costs, required pre-operative medical tests and the time and place of the surgery.
- Schedules and tracks ophthalmic surgeries maintaining caseloads by physician for optimum efficiency.
- Is responsible for coordinating schedule changes and cancellations and notifying all parties.
- Prepares patients’ charts including all required documentation without error and delivers them to the hospital or ambulatory surgery center two days before the surgery.
- Obtains verification and pre-certifications of medical insurance coverage on each patient allowing enough time so that surgery schedules are not interrupted.
- Communicates insurance coverage information with patients and researches and answers patients’ questions about costs and charges.
- Collects deposits and establishes payment plans with patients.
- Works closely with hospitals and ambulatory surgical centers ensuring that questions and problems relating to the procedures are addressed and resolved.
- Works closely with Eye Clinical staff to obtain the necessary medical information needed to get surgeries approved by the insurance company.
- Enters patient data into the computer system regularly and without error.
- Adjusts surgical templates as needed to accommodate physicians’ schedules and caseloads and follows up to reschedule cancellations as needed.
- Schedules post operative examinations with the Ophthalmologist or Optometrist.
- Is responsible for knowing the work schedule, observing work hours and maintaining a good attendance record. (See attached attendance and punctuality requirements.)
- Attends in-service programs as directed or required.
- Establishes and maintains effective working relationships with physicians, patients, employees, supervisors and the public. Exemplifies the Company’s Five Star Program.
- Follows all corporate and departmental policies and procedures and complies with the Employee Handbook.
- Performs other tasks as needed or directed.
DEGREE OF SUPERVISION:
Performs duties under direct and indirect supervision.
PERFORMANCE REQUIREMENTS:
- Accountability: Reports directly to the Eye Clinical Coordinator.
- Education or Training: Must be a high school graduate. Counselors are strongly encouraged to take and pass the Certified Ophthalmic Assistant test within 18 months of being in position.
- Must be able to communicate effectively with patients and the public.
- Knowledge and Experience: Previous work experience in medical insurance, patient collections or other clinical training or certification is preferred.
- Dexterity: Must be able to accurately type 25 words per minute and use a computer.
- Accuracy: Must be able to transcribe information received from patients, including insurance coverage, social security and telephone numbers without error.
- Physical Activity: Physical activity involves writing, keying, reaching, carrying, looking, listening, talking, bending, lifting, stooping, walking, and much sitting, resulting in light work.
- Exertion Requirements: Light - must be able to lift or carry up to 10 pounds of weight up to 10 feet occasionally (up to 1/3 of the time), or a negligible amount of weight up to 10 feet frequently (from 1/3 to 2/3 of the time). Light work requires sitting most of the time, but may involve periods of standing and walking depending on task requirements.
- Working Conditions: Works in an office setting, which is well-lighted, ventilated and temperature regulated.
- Must be able to concentrate on work tasks amidst distractions, such as noise, conversations and foot traffic.

Pay: $14.00 - $16.00 per hour
