Assistant Project Coordinator/Receptionist
Job Responsibilities (Below list is not a comprehensive list of all responsibilities)
- Act as first point of contact for clients in person, on phone or via email. Must be able to communicate in a pleasant and professional manner at all times.
- Lead intake and disbursement of leads to design staff.
- Process all new projects and input into all company systems in a timely manner. Requires ability to learn to read construction prints, surveys and engineering.
- Oversee & track entire permitting process, from intake of project until issuance of permit with the county/municipality. Knowledge of permitting preferred, but not mandatory.
- Receive customer payments and process them in QuickBooks and project management systems.
- Update project management systems with payment and job status information.
- Issue Work Orders, Material Orders and Supplies.
- Input Purchase Orders and reconcile material monthly statements.
- Create spreadsheets and reports for management.
- Ability to gain product knowledge of materials in showroom and assist customers with selections when needed.
- Proactively anticipate customer and company management’s needs, maintaining frequent and professional communication, and responding quickly to requests.
- Offer support to Project Coordinators, Management and Supervisors.
- Maintain showroom, conference rooms and reception area.
Candidate Requirements:
- High School Diploma (or equivalent) and some college.
- At least 1 year of experience as a receptionist/administrative support.
- Permitting experience preferred, but not mandatory.
- Exceptional customer service skills.
- Outstanding verbal/written communication skills.
- PC proficiency, including intermediate knowledge of MS Word and Excel.
- Knowledge of QuickBooks preferred, but not mandatory.
- Strong work ethic, positive attitude, and willingness to assist others.
- Individual must be organized, extremely detailed oriented, have excellent interpersonal skills, and ability to problem solve.
- Must be able to work well under pressure and within timelines while handling multiple projects at one time.
- Physical Requirements: Lifting of small boxes, moving and/or organizing products such as tiles, pavers, etc. in showroom/warehouse. Help with twice daily COVID-19 Cleaning.
