Job Overview:
As a Secretary/Receptionist at Premier Tax & Financial Services, you will be the first point of contact for clients, visitors, and callers. You will perform a variety of administrative tasks to ensure that our office runs smoothly and efficiently. The ideal candidate will be a detail-oriented, professional, and personable individual with strong communication skills, who enjoys working in a dynamic and fast-paced environment.
Key Responsibilities:
- Reception and Customer Service:
- Greet clients and visitors with a warm, professional demeanor.
- Answer, screen, and direct incoming calls, emails, and messages to the appropriate personnel.
- Provide general information about the company and services offered.
- Manage appointment scheduling and confirmations for clients and staff.
Administrative Support:
- Handle office correspondence, including mail, packages, and email communication.
- Maintain and organize client records, ensuring confidentiality at all times.
- Assist with data entry, document preparation, and filing for tax-related paperwork.
- Perform basic clerical duties, such as photocopying, scanning, and faxing.
- Office Management:
- Ensure office supplies are stocked and reordered as necessary.
- Maintain a clean and organized reception area and office environment.
- Assist in preparing and organizing meetings, conference calls, and other team activities.
- Client Interaction:
- Coordinate with clients regarding appointment reminders and required documentation.
- Assist in the preparation of client intake forms and tax documents.
- Team Collaboration:
- Provide administrative assistance to tax professionals and other team members as needed.
- Maintain office calendars, schedules, and communicate updates to the team.
Qualifications:
- Education: High school diploma or equivalent; additional administrative or office management certifications a plus.
- Experience: Previous experience in a receptionist, office assistant, or administrative role preferred. Experience in a tax, accounting, or financial services environment is a plus.
- Skills:
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Excellent organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Friendly, professional, and courteous demeanor.
- Strong multitasking and time management abilities.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Familiarity with office equipment (e.g., phone systems, fax machines, printers).

- Salary: Ranging from $9 to $15
