Position Title: Office Manager
Reports To: General Manager
Job Summary: The Office Manager will oversee and coordinate all administrative operations of Premier Woodwork, Inc. to ensure efficiency, productivity, and alignment with the company’s goals. This role will manage office staff, streamline processes, and oversee bookkeeping and financial reporting, while supporting operational needs across the organization.
Key Responsibilities:
- Administrative Management
- Supervise and support office staff, including bookkeepers and administrative assistants.
- Develop and maintain efficient office systems, including documentation, scheduling, and filing processes.
- Oversee procurement of office supplies and equipment.
- Financial Oversight
- Review and approve financial reports prepared by the bookkeeper.
- Monitor budgets, expenses, and financial performance in coordination with the owner.
- Ensure compliance with all financial and regulatory requirements.
- Operational Support
- Coordinate with other departments to improve communication and workflow.
- Implement process improvements to increase efficiency and reduce operational bottlenecks.
- Oversee scheduling and time-tracking systems, ensuring accurate and timely reporting.
- Human Resources Support
- Assist in recruitment, onboarding, and training of new office staff.
- Maintain employee records and ensure compliance with HR policies.
- Facilitate employee reviews and development plans in collaboration with leadership.
- Technology and Tools
- Manage software and tools used in the office, including Smartsheet, QuickBooks Online, QuickBooks Time (preferred but not required), Office Suite, and other platforms.
- Identify and implement new technologies to streamline office operations.
- Customer and Vendor Relations
- Act as a point of contact for external stakeholders, including customers, vendors, and service providers.
- Negotiate contracts and maintain positive relationships with key partners.
Qualifications:
- Proven experience in office management or a similar administrative leadership role.
- Strong financial acumen, with experience in bookkeeping and financial reporting preferred.
- Excellent organizational and multitasking skills.
- Strong leadership and team management abilities.
- Proficiency with office software and tools, including Microsoft Office Suite, QuickBooks, and Smartsheet.
- Outstanding communication and interpersonal skills.
- Educational background or work experience that demonstrates the ability to effectively perform the responsibilities of this role.

Compensation and Benefits:
- Hourly wage range: $18-$21, based on experience.
- Paid holidays and vacation.
Working Conditions:
- Full-time position, primarily based in the office.
- May require occasional overtime or weekend work during peak periods.
