Position Title: Construction Billing/Scheduling Specialist

About the Job: Premiere Property Services is seeking a Construction Billing/Scheduling Specialist, you will play a crucial role in managing project timelines and ensuring accurate billing and payment processing. You will work closely with project managers, contractors, and the accounting team to keep projects running smoothly and ensure timely and accurate billing. The ideal candidate will have experience in the construction industry, be familiar with project management software, and have a solid understanding of construction billing procedures.
Key Responsibilities:
AIA Billing:
- Prepare and process AIA billing packages, including drafting pay applications and progress payments based on the work completed, including change orders.
- Work with the project management team to ensure that all project-related costs are captured accurately for billing purposes.
- Maintain detailed records of all invoices and change orders and ensure timely submission to clients.
- Coordinate with the accounting department to resolve any billing issues or discrepancies.
- Permit Management:
- Obtain and track all necessary permits for construction projects, ensuring compliance with local regulations.
- Coordinate with local municipalities to ensure all permits are issued on time and any changes are addressed.
- Keep project managers informed of permit status, deadlines, and any issues related to permit requirements.
- Project Scheduling:
- Develop and maintain detailed project schedules, adjusting timelines as necessary to reflect project progress.
- Coordinate with subcontractors, suppliers, and the project team to ensure timely delivery of materials and labor.
- Monitor and track project milestones, ensuring all project activities are completed on schedule.
- Communicate schedule updates and any potential delays to the project team and stakeholders.
- Project Coordination:
- Support project managers with tracking and documenting project progress, budget, and schedule.
- Assist in the management of subcontractors, ensuring timely completion of work according to contract specifications.
- Help organize and maintain project documentation, including contracts, schedules, billing, and permits.
- Client & Vendor Relations:
- Act as the primary point of contact for clients on billing and permit-related inquiries.
Work closely with vendors and subcontractors to resolve scheduling conflicts, billing issues, or permit delays.
Qualifications:
Minimum of 3 years of experience in construction billing, scheduling, or project management.
- Experience with AIA billing (AIA G702/G703) and understanding of the AIA billing cycle.
- Knowledge and experience in pulling and managing permits for construction projects.
- Strong understanding of construction contracts, change orders, and billing processes.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Strong attention to detail and problem-solving skills.
- Excellent communication skills, both written and verbal.
Ability to work both independently and as part of a team in a fast-paced environment.
