The HR Compliance Assistant provides support to the human resources and compliance team by assisting with daily operations, administrative tasks, and project initiatives. This role involves working closely with HR professionals to ensure the smooth execution of various HR functions and processes as well as assisting Compliance professionals with relevant regulatory duties. This is an in-office position based out of our Headquarters location in Rochester, New York.
The HR Compliance Assistant will be responsible for completing the following job duties.
- Monitoring posted job openings on internal platform
- Responsible for pre-qualification of applicants for hire to include rehire approvals and pre-employment screenings
- Assist with onboarding materials and orientation process
- Ensure compliance with state, federal, and utility requirements/regulations, including but not limited to; eligibility to work in the United States documentation and specific utility reporting
- Maintain and update employee files in compliance with company policy and legal requirements
- Assist in payroll and benefits administration where available, ensuring data accuracy and confidentiality
- Support the implementation of employee engagement activities and training programs
- Responsible for responding to employee inquiries submitted to HR regarding company policies and procedures
- Review and reconcile HR related invoices, as necessary
- Contribute to ongoing HR projects, including process improvement and system upgrades
- Assist the Compliance team with various tasks as requested, including but not limited to the maintenance and compliance of NMLS
- Assist the Quality Control Administrator with various tasks associated in the Quality Control process

The following qualifications are required of the HR Compliance Assistant
Education:
- A college degree or combination of equivalent education and experience is acceptable
Experience:
- Previous experience in HR is preferred
- Previous experience with NMLS is preferred
Skills:
- Proficient with standard office equipment i.e. computer, phones, scanner, fax and copier
- Proficient with Microsoft Office
- Ability to multi-task effectively
- Must possess excellent written and verbal communication skills
- Must possess effective listening skills
- Must possess excellent organizational skills

The HR Compliance Assistant is primarily in an office setting and may be exposed to outdoor conditions.
The working conditions are classified as sedentary work:
- Sedentary work - Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
