The Administrative Assistant - II will provide professional administrative support to the Substrate Packaging Technology Development (SPTD) department. This role requires exceptional organizational skills, the ability to manage competing priorities, and the flexibility to work independently as well as part of a dynamic team. The ideal candidate will be proactive, detail-oriented, and capable of handling a wide range of administrative tasks with professionalism.
Key Responsibilities
- Manage and coordinate calendars, assist in planning internal meetings, and facilitate external engagements.
- Make travel arrangements and prepare expense reports as required.
- Organize and coordinate department meetings, quarterly events, recognition programs, and team-building activities across the organization.
- Manage cube spaces, aisle signs, and the mailroom.
- Provide administrative support to factory employees, including assigning lockers and hangers, replenishing office and factory supplies, and assisting IT with phone refresh activities.
- Collaborate with the culture team and other department admins to provide logistics support and proactively formulate solutions to meet deadlines and goals.
- Maintain accurate and detailed department records, including org charts and email distribution lists.
- Receive, interpret, and evaluate requests, taking appropriate responsive action and determining when staff involvement is necessary.
- Collaborate with other administrative assistants to enhance the efficiency of administrative processes.
- Execute onsite tasks locally with direction from staff located out of state.
- Proven ability to handle multiple responsibilities with excellent time management and organizational skills.
- Experience in managing complex calendars, scheduling meetings, and making travel arrangements.
- Strong interpersonal and communication skills, with the ability to interact with all levels of employees and external stakeholders.
- Experience managing sensitive and confidential information with discretion and professionalism.
- Ability to work independently with minimal supervision, demonstrating initiative and problem-solving capabilities.
- Strong attention to detail, multitasking abilities, and the ability to follow through on tasks.
- Comfortable working in a dynamic environment with changing priorities, including the flexibility to work night shifts (after 6 pm) when necessary.
- Previous experience in a similar administrative role, particularly within a technical or manufacturing environment.
- Proficiency with office software tools, such as Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong organizational and time management skills, with the ability to juggle multiple tasks and priorities.
- Proficiency in administrative tools, such as calendar management software and travel arrangement systems.
- Ability to manage confidential information and maintain discretion.
- Excellent interpersonal and communication skills, able to interact effectively with all levels of employees and external contacts.
- Proven problem-solving and proactive thinking, with the ability to foresee potential issues and take initiative to address them.
