JOB DESCRIPTION
POSITION SUMMARY:
The HR Coordinator plays a pivotal role in managing key aspects of the employee lifecycle, with a primary focus on onboarding and offboarding processes. Additionally, this role is responsible for maintaining accurate employee records, managing the HR helpdesk, and ensuring smooth administrative operations within the HR department. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.
DUTIES AND RESPONSIBILITIES
- Onboarding:
- Manage the full onboarding process for new hires, including preparing and organizing new hire documentation, scheduling orientation sessions, and ensuring a smooth transition for employees joining the organization.
- Coordinate with IT and other departments to ensure new employees have the necessary tools and access on their first day.
- Ensure compliance with company policies and legal requirements during the onboarding process.
- Offboarding:
- Oversee the offboarding process for employees leaving the company, ensuring that all necessary paperwork is completed, exit interviews are conducted, and company property is returned.
- Coordinate with relevant departments to ensure a smooth transition and proper knowledge transfer.
- Track and report on offboarding trends to support continuous improvement in employee retention.
- File Maintenance:
- Maintain and update employee records, ensuring all personnel files are complete, accurate, and compliant with applicable laws and regulations.
- Ensure all documents are securely stored, both digitally and physically, and are easily accessible when needed.
- HR Helpdesk Management:
- Serve as the first point of contact for employee inquiries related to HR policies, benefits, and general HR support.
- Manage the HR helpdesk ticketing system, responding to requests in a timely and professional manner.
- Escalate complex issues to appropriate HR team members or management as needed.
- General Administrative Support:
- Assist with various HR tasks such as scheduling interviews, preparing HR documents, and coordinating training sessions.
- Provide support for HR projects and initiatives, as needed.
EXPERIENCE AND QUALIFICATIONS
- Bachelor’s degree in human resources, business administration, or a related field or professional certification (or equivalent work experience)
- 2 years of experience in an HR or administrative support role
- Strong organizational, multitasking and time management abilities
- Strong attention to detail and ability to maintain accurate records
- Basic understanding of HR policies and procedures
- Proficient computer skills in Microsoft Outlook and other standard software applications.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Customer-service oriented with a focus on employee satisfaction.

KEY PERFORMANCE INDICATORS
- HR Helpdesk: Ensure that all inquiries/tickets submitted are acknowledged within 24 hours and all basic inquiries are resolved within 48 hours.
- Onboarding: Ensure all new hires are onboarded on time and have all necessary documentation, resources, and information to begin their role
- Virtual employee files: Complete within 90 days. Coordinate monthly audit (team goal)
PERFORMANCE EXPECTATIONS
- SERVE THE CUSTOMER: Establish effective business partnerships.
- PROACTIVE COMMUNICATIONS: Constantly calibrate with hiring managers and candidates.
