Administrative Assistant needed for an investment company in Newport Beach.
Direct Hire position paying $60-70k/yr, depending on qualifications plus excellent benefits including Medical, Dental, Vision, 401k, Life Insurance and a Discretionary Bonus Package.
The Administrative Assistant will play an integral role in the daily operations of the company and contribute to its overall success. This position will assist the Office Administrator and provide support to the Partners.
The ideal candidate is a person who enjoys assisting others, has a positive attitude, can work independently, has keen attention to detail, demonstrates reliability, proactiveness, strong communication, organization, time management techniques, and can work as a team player.
Responsibilities:
- Assist with scanning and mail sorting.
- Assist partners and employees with Outlook Calendaring.
- Produce expense reports.
- Answer all partner phones.
- Assist with new employee onboarding.
- Order lunches and assist with set up.
- Monitor conference room calendars.
- Cover reception desk when needed.
- Print labels for FedEx and UPS.
- Order office and kitchen supplies.
Qualifications:
- 3 years as an Administrative Assistant.
- Strong interpersonal skills and emotional intelligence.
- Proficient with Microsoft skills including Word, Excel, Outlook, PowerPoint, Adobe Acrobat Pro.
- Proficiency using conferencing systems including, Outlook, Microsoft Teams and Zoom.
- Excellent written and verbal communication skills.
- Excellent organizational skills, with a strong attention to detail.
- Exceptional ability to independently prioritize and accomplish work within time constraints.
- Strong analytical and problem-solving skills.
- Ability to act with integrity, professionalism, and confidentiality.
