Front Office
Job Summary:
To answer all incoming calls, make appointments appropriately for patients, greet and check in patients, check all patients out, collect payments and co-payments. Set up follow-up appointments and monitor doctor schedule, to provide patients with the best customer service as possible and to maintain a pleasant working environment for all staff
Duties/Responsibilities:
Phones/Cashier/Greeter/Dismissal – All at one seat- Primary
- Answer phones (primary) and handle calls appropriately
- Schedule and cancel appointments appropriately
- Confirmations for next day appointments.
- Check patients in and out
- Check in patients using Phreesia and PM.
- Monitor schedules daily for appropriateness and flow
- Retrieve messages from answering service
- Enter legal document papers
- Add new patient accounts
- Support medical records as needed. Scan documents into patient charts.
- Send outgoing faxes.
- Portal invites and help with portal questions
- Collect co-pays, payments or past due amounts
- Responsible for assigned change drawer
- Check Medicaid eligibility and RMHP eligibility.
- Collect Choice forms for RMHP and Prime mcd and documents as needed.
- Gather and enter correct demographics.
- Copy insurance card.
- Check patients out.
- Facilitate getting ill patients to the back
- Help problem solve patient issues
- Updates in EHR
- Enter no shows, cancellations, and reschedules.
- Manage drawer for paperwork, samples, etc. Pick-ups by patient.
- Sort incoming faxes to provider folders, med recs, other divisions, etc.
- Work in multiple applications.
- Effectively communicate with providers and other staff.
Miscellaneous Duties
- Maintain orderliness and cleanliness of front office and patient waiting area
- Other duties as assigned
Work Experience:
One - three years’ experience in office setting; familiarity with general office procedures.
Education Requirements:
High School Diploma
General Requirements:
Must have phone skills and pleasant phone voice; customer service oriented; some computer skills, be able to multi-task; perform well under pressure; able to work at a fast pace
Working Environment:
This job operates in a professional office environment. This position works primarily seated at a desk or walking around. Located in a well-lighted, ventilated area.

Position Type/Expected Hours of Work:
This is a full-time position at 40 hours a week. Works primarily Monday through Friday 8:00 a.m. – to 5:00 p.m. (or until last patient has left) with an hour lunch. Expected hours of work may change at any time with or without notice.

While performing the duties of this job, the employee is regularly required to talk and hear. This is primarily a standing/sitting role; however, there is some light lifting, bending, and squatting.
