Job Summary
We are seeking a dedicated and friendly Front Desk Representative to join our team. The Front Desk Representative serves as the first point of contact for patients and visitors, ensuring a welcoming and professional environment. This role focuses on greeting visitors, scheduling appointments, collecting payments, handling phone calls, and maintaining the reception area's appearance. The representative plays a crucial role in delivering excellent customer service and supporting a smooth patient experience.
Key Responsibilities:
- Provide a warm, friendly, and professional greeting to all patients and visitors.
- Maintain a positive first impression of the organization, its staff, and its services.
- Ensure the front office, waiting room, and reception area remain clean, organized, and presentable.
- Handle incoming calls, route them to the appropriate person or department, and take detailed messages as needed.
- Collect payments, verify insurance information, and update patient demographic data.
- Schedule and reschedule appointments according to established policies, informing patients of necessary updates or required documentation.
- Conduct interviews for sliding scale patients and ensure accurate documentation.
- Run daily reports, balance day sheets, and prepare cash deposits.
- Assist patients with medical assistance applications, ensuring proper completion, processing, and notification.
- Manage incoming medication shipments, log details, and coordinate patient pickup.
- Ensure timely and accurate documentation in the electronic medical record (EMR) system.
- Adhere to HIPAA, OSHA, and organization-specific guidelines and protocols.
- Cross-train in other front desk roles to support team flexibility and coverage.
- Participate in training sessions and contribute to maintaining a Patient-Centered Medical Home environment.
- Address patient inquiries or concerns promptly and professionally, offering solutions or rescheduling options when necessary.
Qualifications:
- Strong interpersonal and communication skills with a focus on customer service.
- Proficiency with EMR systems and basic office software.
- Ability to handle cash transactions and balance daily financial reports.
- Excellent organizational skills and attention to detail.
- Familiarity with insurance verification and medical documentation processes is a plus.
