What are the responsibilities and job description for the Project Administrator position at PrimeTech Communications?
Job Summary:
The Project Administrator will report to the Office Services Supervisor and is responsible for acquiring, producing, reviewing, and electronically tracking all documentation required to efficiently manage PrimeTech construction projects from inception to completion.
Duties/Responsibilities:
- Adds new projects and work orders to project software (Penguin)and icontacts the manager when additional information is needed..
- Scans maps into the project folder, updates asbuilt maps and forwards them to the appropriate project manager.
- Checks client bid and other notification systerms for new work orders to forward to the Field Supervisor.
- Aids in gathering information for invoicing when projects or work orders are completed.
- Tracks projects and work orders in Penguin daily to reflect the correct status.
- Scans completed work orders to server for record retention.
- Answers the phones and directs calls appropriately.The Project Administrator routinely assists with filing and other office duties.
- Interacts with clients, sub-contractors, general public as needed.
- Assists Project Managers with special assignments on occasion.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Must be reliable and dependable.
- Ability to effectively communicate, in English, both verbally and in writing.
- Proficient in Outlook, Microsoft Word, and Excel..
- Working knowledge or ability to quickly learn project specific software including, but not limited to Penguin.
- Industry specific knowledge or ability to trasfer skill set.
- General ability to read maps and complete as-builts or ability to quickly learn to do same.
- Ability to operate related office equipment, such as computers, phone system, and copier.
- Ability to work independently and in a fast-paced environment.
- Ability to anticipate work needs and interact professionally with coworkers, clresw, managers, and clients.
- Excellent organizational skills and great attention to detail.
- Ability to calculate figures for job bids and invoices to include such and amounts such as footage, discounts, interest, etc.
Education and Experience:
- High school diploma required;
- Mimimum of one - two years of related experience required.
- Microsoft Office skills.
- Prefer knowledge of construction job process.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
