POSITION OBJECTIVE

We are seeking a highly organized and detail-oriented Construction Project Administrator to join our team. The ideal candidate will play a crucial role in supporting the successful execution of construction projects by coordinating administrative tasks, communications and documentation. The Construction Project Administrator will work closely with the project accountants, project managers, subcontractors, and other stakeholders to ensure accurate and timely processing of payment requests.

Responsibilities

Cost Management :

  • Review and validate subcontractor pay applications for accuracy and completeness.
  • Input pay application data into project management software or relevant tracking systems.
  • Verify the compliance of pay applications with contract terms, milestones, and work completed.
  • Collaborate with project managers and subcontractors to address any discrepancies or issues in pay applications.

Payment Coordination :

  • Liaise with accounting and finance teams to ensure timely and accurate processing of subcontractor payments.
  • Prepare and organize necessary documentation for payment approval, including invoices, lien waivers, affidavits, and change orders.
  • Coordinate with subcontractors to obtain required documentation for payment processing.
  • Assist in the resolution of payment-related inquiries from subcontractors and internal teams.
  • Project Communication :

  • Maintain open lines of communication with subcontractors regarding payment status and inquiries.
  • Collaborate with project managers to provide updates on payment processing and anticipated timelines.
  • Documentation and Reporting :
  • Maintain accurate records of subcontractor pay applications, payments, and related documentation.
  • Administrative Support :

  • Assist with general administrative tasks, including filing, data entry, and document organization.
  • Support the project team in preparing and distributing project-related communications and documentation.
  • Read and understand all executed construction contracts. Including review for payment terms, retainage terms, allowances, billable costs, exhibits, and other requirements or agreements and ensure appropriate internal parties are aware.

    Education. BA or BS degree

    Professional Experience. Minimum of 3 - 5 years of experience in construction accounting. Specifically experience in job cost, construction management, general contracting, or subcontracting. Knowledge of key aspects of finance and accounting, including an understanding of general accounting principles

    Computer and Technical Skills. Should be able to embrace and adapt to technology required to fulfill responsibilities of this position, to include Microsoft Office, Yardi Software Systems, and other required software, or equal.

    Industry Knowledge. Familiarity with GAAP and Construction Industry

    Communication . Developed writing and verbal communication skills and the ability to work effectively with other team members.

    Time Management. Developed organizational, planning and time management abilities utilized to solve problems creatively, manage / schedule multiple priorities, and adherence of deadlines.
