What are the responsibilities and job description for the Administrative Assistant position at Primma, LLC?
**This position is 100% onsite in our Roslyn, NY office**
General Summary: Provide administrative support to Vice Presidents, Assistant Vice Presidents, Directors and Managers.
Essential Duties & Responsibilities:
- Provide administrative support to departmental VP’s, AVP’s, Directors and Managers
- Set up meetings and book conference rooms
- Manage VP’s and Department Calendars
- Answer VP’s phones and take messages
- Prepare correspondence as needed
- Schedule pre-renewal and non-renewal review meetings with insureds and PRIMMA staff
- Make travel arrangements for management staff
- Assist with expense reports as necessary
- Assist in preparation of Power Point presentations
- Take notes at weekly staff meetings and prepare minutes
- Manage organizational memberships and subscriptions for UW staff
- Prepare check requests for invoices
- Monitor and order all supplies for Department
- Arrange for service calls for equipment
- Assist with onboarding of new employees, including workspace and IT set-up
- Coordinate departmental events, i.e., business trips, off-site dinner receptions and meetings
- Monitor submission mailbox and manage Submission Pipeline report; log all new submissions on the Pipeline, respond to broker or insured and refer the submission to the appropriate underwriter.
- Update Pipeline Report with disposition of submissions including quoted premium.
- Other duties as assigned
Education & Qualifications:
- College graduate with 4 years related office experience or 5 years-related office experience.
- Accurate typing 50-70 wpm.
- Strong computer skills: Proficient in Microsoft Word, PowerPoint and Excel
- Ability to effectively communicate verbally and in writing.
- Ability to communicate with other in a professional manner
- Must be detailed oriented and good organizational skills
- Ability to function in a professional office environment and utilize standard office equipment.
The actual compensation for this position will be determined by experience and other factors permitted by law.
