About The Position
This is advanced level secretarial/administrative type work designed to relieve the Director of bookkeeping detail of a highly sensitive and confidential nature. Working independently under general supervision, incumbent performs varied and responsible bookkeeping work often of a techncal nature and difficulty. Incumbent typically determines appropriate steps to independently complete assignments according to established procedures, referring to the Director when necessary.

All legislative powers of the County are vested in the County Council. In addition, the County Council sits as the District Council on zoning and land use matters, and as the Board of Health-on-health policy matters.

Examples of Work
- Maintains extensive knowledge of all County purchasing procedures, contracts and accounting principles. Acts as cardholder for the Council Members.
- Researches automated and manual file of accounts using the County financial automated system, ensures all forms and data are entered and updated in a timely manner.
- Responds promptly to inquiries from Council Members and staff regarding status of purchases.
- Researches vendors to meet purchase specifications and consults with Council Members/staff to obtain approval for purchase and make recommendations, if necessary.
- Monitors purchases to ensure timely delivery and inspects deliveries for damage and proper assembly.
- With assistance from the Finance Assistant I/II, maintains and organizes supply inventory in a manner allowing staff and Council Members easy access.
- Maintains the confidentiality of all procurement and purchase requests.
- Assist in training and coaching the Finance Assistant I/II in County purchasing procedures and Purchase Card transactions.
- Assists in training and coaching the Finance Assistant I/II in routine financial input which meets established accounting procedures for reports.
- Coordinates with Supervisor to ensure routine financial input meets established accounting procedures for reports.
- Maintains the confidentiality of all budget-related matters and materials.
- Ensures correspondence is error free, grammatically correct and in proper format.
- Establishes and maintains appropriate files to assist with preparation of monthly budget and financial reports.
- Uses tact, diplomacy, discretion, confidentiality, and patience when assisting visitors and handling telephone calls.
- Possesses complete knowledge of County procedures regarding financial systems and spreadsheet software.
- Possesses ability to comprehend and analyze all financial information.
- Performs other related duties not included in this position description but are consistent with the occupational parameters and scope of the job classification.
- Must have experience in the Administrative Aide II level equal to the length of the probationary period
- Associate's degree in business administration or secretarial science
- One (1) year of secretarial/administrative experience which involved working with the public, office management and operational details
