Introduction:
Prince William County Planning Office is looking for a highly motivated and organized administrative professional looking to work in a fast-paced, team environment. The selected individual will provide critical, frontline customer service and administrative support for many of the Planning Office’s functions. Administrative Specialist will manage the office environment, providing support to both employees and management. This position interacts with the entire department on a daily basis. About This Role:
You will perform a wide variety of customer service and administrative support duties within the Planning Office in a highly efficient and timely manner, such as:
- Assisting customers and other department staff with transactions requiring advanced knowledge and experience in Planning; responding to requests for information, in person, via e-mail, and over the phone; providing and explaining department policies, procedures and regulations.
- Providing specialized administrative support in an assigned area, such as: monitoring project timelines, identifying and resolving issues; coordinating cross-department services; preparing meeting minutes; maintaining records.
- Organizing and maintaining files, such as creating and maintaining department files.
- Maintaining office supplies inventory.
- Managing relationships with vendors and service providers.
- Assisting with updating and maintaining Planning Office Website.
- Accepting standard payments and issuing receipts; processing orders and managing the department’s PCard.
- Developing and implementing office procedures to improve efficiency.
- Organizing and facilitating department events and meetings.
- Providing back up to Director’s office team.
Minimum Requirements:
High school diploma or G.E.D. and 2 years of related experience.
Preferences:
- 3 or more years of proven experience as an administrative assistant or office admin assistant, preferable in planning related field.
- 3 or more years of proven experience in providing customer service
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent time management skills and ability to prioritize tasks
- Strong organizational skills and attention to detail
- Effective verbal and written communication skills
- Ability to work independently and as part of a team
- Strong problem-solving skills and a proactive attitude
- Experience in handling confidential information
- Ability to work under pressure and meet deadlines
- Flexibility and adaptability in a dynamic work environment
- Experience in preparation of meeting agendas and minutes
- Experience in coordinating events and meetings.
- Experience in processing payments and issuing receipts
- Knowledge of EnerGov, County Mapper, EDMS preferred
- Experience working in local government and records management preferred.
- Experience with updating Websites
Work Schedule: Full time (Monday-Friday, 37.5 hrs)
Starting Salary Range: $28.00-32.00 hourly
