FULLTIME ADMINISTRATIVE POSITION
At Principal Wealth Group, we are seeking a new team member in the capacity of a full-time administrative assistant. It is important that applicants share our vision of helping families and individuals build their financial future. In addition to that vision, the right person for this position, is detail-oriented, congenial and time conscientious.
This role requires someone with experience performing several administrative duties, such as: greeting clients, answering phones, scheduling meetings and processing client paperwork. We seek a person that is fluid in the use of the Microsoft Office suite and will prepare reports and paperwork efficiently and consistently.
Due to the confidentiality that is imperative in this field, we seek to hire an individual that values the integrity of keeping our clients’ information safe and private. In that regard, we require that our staff members be finger-printed and a background check be completed as part of the interview process.
Duties and Responsibilities:
Answering phones in a professional, positive, and friendly manner, providing information for callers, transferring calls and messages to the appropriate person quickly and screening phone calls.
Setting-up meetings with prospective clients, existing clients, and vendors
Greeting and welcoming on-site clients, offering refreshments and notifying the correct advisor of the guest’s arrival
Keeping the reception area and conference rooms clean
Scanning of documents and statements
Sorting mail and distributing out to staff and advisors
Keeping database updated with client information from confidential profile or when necessary
Researching data and preparing reports
Job Requirements:
Working knowledge of RedTail or other CRM
Highly experienced in all Office Suite products: Excel, Word and Outlook
Prior office experience 2 years
Prior Financial Advisory/Administrative experience 5 years
Ability to multi-task
Commitment to maintaining confidentiality of sensitive information
Ability to complete your tasks, while also maintaining team communication
