The Position:
The client is seeking a full-time Administrative Assistant II to support the administrative functions of the organization. The successful candidate will have excellent organizational skills, display exceptional attention to detail, be self-motivated to work independently and be able to multi-task in a busy environment. This position performs responsible, specialized administrative and office support activities for multiple departments of the client, works on special projects and assignments as directed and serves as the primary relief for the receptionist. Applicants should have a forward-thinking, proactive mindset and should be willing to learn and grow. Regular attendance and punctuality are an essential requirement of this position.
The Candidate - The ideal candidate will have:
- Comprehensive knowledge of standard office practices and procedures with thorough knowledge of and demonstrated experience in Microsoft Office products (PowerPoint, Excel, Word, Outlook, Access).
- The ability to work effectively as part of a team and thrive in a fast-paced environment.
- The ability to appropriately manage time to meet deadlines; strong attention to detail, follow-through and organization; ability to manage and assess multiple responsibilities at once.
- Demonstrated experience scheduling meetings and managing calendars.
- Experience in recording and transcribing minutes within limited timeframes.
- Demonstrated ability in preparing correspondence, memoranda, and agendas.
- The ability to accurately proof documents for spelling, grammatical and other typographical errors.
- Experience with reconciling monthly statements and receipts.
- Excellent verbal, listening, communication and interpersonal skills with ability to think critically.
- The ability to work well with elected officials, planning professionals and agency staff to develop positive, successful working relationships.
- The ability to follow a supervisor’s instructions & work both independently and collaboratively on multiple projects.
Education & Experience
- Minimum of a high school education or GED plus five (5) years of experience in related positions with increasingly responsible administrative support work. Bachelor’s degree with 2-3 years of progressively responsible administrative experience is preferred and maybe substituted for experience.
- Requires passing score of 50 words per minute on a typing test.
- May require additional testing in Microsoft Office products as well as composing, proofing and editing correspondence.
Physical & Sensory Requirements
- Work is performed primarily in a standard office environment and is typically sedentary. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
- Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
- Visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work and observing general surroundings and activities.
- Hearing is required for preparing and summarizing minutes for various in-house meetings.
