Administrative Assistant
Salary: $85,000.00/yr
BASIC FUNCTION
Pritchard Sports & Entertainment Group is seeking to hire an Administrative Assistant. The Administrative Assistant is responsible for managing all the human resources, personnel, and office administrative concerns for the cleaning services account(s). The Administrative Assistant will provide support to both names of venues. This role provides support to multiple shifts and sites.
ORGANIZATIONAL RELATIONSHIP
The Administrative Assistant reports to the Site Manager and receives work assignments and supervision from the same.
SPECIFIC RESPONSIBILITIES AND OBJECTIVES
- Recruit, interview, evaluate, and hire employees for the contract.
- Complete all new hire forms and additional new employee paperwork and process as directed.
- Maintain all personnel files including weekly termination reporting.
- Complete employee payroll and maintain payroll records.
- Manage all office administrative responsibilities including copying, filing, and advanced computer software skills, record keeping, scheduling, telephone skills, typing, documentation skills meeting planning.
- Effective verbal and written communication, dependability, attention to detail, administrative writing skills, Internet research abilities, and e-mail etiquette.
- Maintain purchase order files and daily Billing Reports.
- Ensure all labor and materials are available to complete assigned tasks.
- Ensure all staffing levels are current.
- Work with team leaders, supervisors, and managers to evaluate personnel and make appropriate adjustments with staffing as necessary per site manager.
- Requires flexibility, excellent interpersonal skills, project coordination, and the ability to work well with all levels of internal management and staff, outside clients, and vendors.
- Sensitivity to confidential matters may be required.
- Assist with employee orientations and training.
- Maintain insurance, workers compensation records, injury/accident reports.
- Administers employee benefit and incentive programs including Pin Ceremony.
- Completes all other related duties as assigned by the Site Manager.
- Must be comfortable providing support over multiple shifts, including outside business working hours.
BASIC QUALIFICATIONS
- 1 to 2 years of Experience in an Administrative or Operations role.
- Experience with Word, Excel, Microsoft Outlook.
- Must be bilingual (English/Spanish).
PREFERED QUALIFICATIONS
- Associate degree
- Previous administrative experience in janitorial/housekeeping or similar experience.
