Overview
We are seeking a detail-oriented and organized File Clerk to join our team. The ideal candidate will be responsible for maintaining accurate filing systems, ensuring that documents are easily accessible and properly archived. This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks efficiently. As a File Clerk, you will play a crucial role in supporting the office's administrative functions.
Responsibilities
- Maintain client and firm files; opening and closing files according to firm guidelines and procedures, ensuring all files are maintained electronically using document management system (MyCase) and physical files are organized and pleading indexes are updated daily
- Use alphabetical and numerical systems to organize paper and electronic records documents
- Calendar hearing dates received through e-filing, mail, and telephone
- Answer phone calls, email messages to the correct party and redirect calls when appropriate
- Communicate with potential clients, attorney’s offices, and Judge’s offices, via email, over the phone, or in person in a professional manner
- Scan incoming mail, save to appropriate folders, and dispense to attorney for review before filing
- Send faxes and make copies of legal documents
- Schedule court hearings, depositions and other meetings
- Input of attorney time for billing purposes for court appointed cases
- Prepare basic legal documents and correspondence
- Maintains client confidence by keeping client/attorney information confidential
Skills
- Proficiency in Microsoft Word
- Must be a self-starter and have the ability to work independently
- Ability to effectively and efficiently manage multiple projects and competing deadlines
- Ability to work in a fast-paced environment, adapt to changing priorities, and remain flexible to meet needs of attorneys, paralegals and clients
- Exhibit strong work ethic and demonstrate ability to take initiative and anticipate what needs to be done while understanding and following specific, detailed instructions
- Excellent communication skills and team player
- Willingness to learn and develop skills
- Excellent planning, organizational and attention-to-detail skills
- Legal Experience preferred
