What are the responsibilities and job description for the Contract Specialist (Healthcare, Concierge Medicine) position at Private Medical?
We are looking for an administrative professional to join our organization as a Contract Specialist. This role requires meticulous attention to detail and superior written and oral communication abilities.
Although this role is remote, applicants are required to maintain residency within one of our designated operating states: California, Oregon, Texas, New York, New Jersey, or Florida. This position is full-time, Monday through Friday, working standard business hours.

What will you be doing in this role?
The primary goals of this position are to facilitate a smooth onboarding experience for patients and collaborate cross functionally with Business Development & Clinical Teams. This role will work collaboratively with our Business Development and Finance teams to support the onboarding, invoicing and contracting of all patients
Contracts Management
- Oversee contract management for new and existing patients.
- Attend weekly contracts meetings with the Business Development team to review pending contracts and establish follow-up plans.
Accounts Receivable
- Generate invoices for new and renewal contracts.
- Manage invoicing for incidental billings.
- Review and send out quarterly incidental statements.
- Monitor and follow up on outstanding accounts receivable.
- Attend a weekly AR call with the team to review open items and establish action steps.
Patient Onboarding
- Partner with the Business Development Team to facilitate new patient onboardings, including large-scale onboardings when new physicians join Private Medical or enterprise contracts.
- Serve as the primary point of contact for onboarding, ensuring smooth communication regarding billing information and establishing a relationship with each patient.
- Complete and manage onboarding cases in Salesforce.
Patient Offboarding
- Send confirmation communications to patients regarding their offboarding.
- Prepare and send departure letters along with any applicable refund checks to AP and management review.
- Complete and manage offboarding cases in Salesforce.
- Post credit memos and journal entries in Netsuite.
Other Responsibilities
- Address patient inquiries related to billing and contract matters.
- Conduct quarterly audits of patient databases in Salesforce to ensure data accuracy and completeness (e.g., verifying MedJet numbers and ClaimAssist enrollments).
- Collaborate with PCC to resolve discrepancies.
- Maintain and enhance the internal database of templates and responses to ensure consistent patient communication.
About you:
- Education required: Bachelor’s degree required
Years of experience required: A minimum of one (1) year of professional working experience
Skills/experience required:
- Quick learner with the ability to adapt to a fast-paced environment and a passion for continuous improvement.
- Proactive and enthusiastic about our mission, with a problem-solving mindset.
- Excellent verbal and written communication skills, with the ability to work independently and take initiative.
- High level of professionalism, comparable to a C-level executive assistant or a reception/concierge role at a luxury hotel.
- Customer service experience is a plus.
- Tech-savvy, comfortable learning and using new software and tools efficiently.
