Job Description: Front Office Manager
The Office Manager works closely with the Practice Administrator ensuring that day-to-day operations of the practice, and satellite clinic locations operate effectively. The Office Manager is proficient in finding solutions as challenges arise and promotes an environment that encourages cohesive teamwork to support the physicians, nurse practitioners, and staff of the practice to achieve their daily goals. This role is responsible for collaborating with physicians, insurance companies, and referring providers to guarantee patient appointments are properly scheduled. Duties include, but are not limited to, the following:
· Onboarding and training all administrative new hires
· Generating and maintaining the providers schedules for the practice by updating NextGen system
· Assessing and reporting staffing needs among the practice
· Assisting in finding coverage for support staff personnel as needed
· Managing daily workflow for the practice and satellite clinic locations
· Maintaining appropriate relationships with external support vendors as necessary
o Phones – BTS
o EMR/PM – NextGen (TSI Healthcare)
o Facilities – PRT
· Manages manual and automated phone systems to provide best possible response to patients
· Makes recommendations relating to documentation
· Maintains and enforces HIPAA practices /policies
· Facilitates positive working relationships with all referral sources
· Assessing the urgency of all new patient referrals and schedule them in an appropriate time frame
· Notifying the referring providers of the patient’s scheduled appointment
· Scheduling all hospital follow up appointments
· Scheduling any in office or Radiology thoracentesis/ pleurex placements
· Handling all reschedule appointments
· Working directly with referring offices to insure there is a collaborative relationship
· Sending all specialist referrals as well as track them for MIPS
· Answering incoming phone calls for the practice
· Coordinating Provider time off, and Provider coverage
· Managing any schedule changes among practice staff
· Facilitating peer to peer reviews for sleep studies
· Managing patient expectations at the front desk/checkout prior to consulting administration
· Other duties as assigned
Job Type: Full-time
Pay: $1.00 - $2.00 per hour
Expected hours: 40 per week
