Shift :  1 st  Shift 8am-5pm Monday-Friday

Job Title :  Administrative Assistant

Pay Rate : $19.00 an hour

Location : Lafayette, IN

General Purpose : To be responsible for supporting Office Staff on daily operations and clerical tasks for   production, inventory and financial transactions .

Positions Responsibilities :

  • Utilize computerized accounting software programs (Microsoft Excel, Word) to perform duties   and responsibilities
  • Copying, Filing and e-filing accounting vouchers, invoices and production paperwork.
  • Develops automated spreadsheets
  • Operates office equipment including personal computer, copiers, fax machines, Biz Hub
  • Organizes and maintains freight documents for matching invoices and freight tracking
  • Reconciles daily production
  • Enter daily downtime and machine run time
  • Provides monthly management reports
  • Answers telephone and personal contact with Corporate, plant staff and vendors on matters as   directed by the coordinator
  • Assists in financial management and analysis, as requested
  • Organizes and maintains retention files for required  period of time
  • Performs miscellaneous Daily, Weekly, Monthly duties in support of plant operations

Essential Skills and experience :

  • High School Diploma with some college accounting courses preferred 3 years’ experience in  accounts payable / receivable with computer                    applications experience preferred
  • Maintain working knowledge of Excel and other applications as needed for data entry
  • Skilled in performing work requiring attention to detail
  • Ability to communicate effectively by phone and email
  • Knowledge of basic accounting processes and procedures
  • Excellent organizational skills, strong work ethic and detail oriented
  • Ability to multi-task & coordinate multiple projects
  • Deadline conscious with strong drive, initiative and the ability to work well in time- sensitive   situations
  • Possess high degree of professionalism, adaptability and customer service skills
  • Ability to work with others and communicate with multiple departments and all levels of  management
  • Possess strong leadership abilities with good coaching and training Skills
  • Strong AS400 / Excel Knowledge (Preferred)

    Work Environment :

    Open Cubicle Office Space, Coordinator sits among Office Staff to assist with directing traffic and face to   face communication. Small office staff is engaged to support many active and continuous improvement   projects within the facility

    Physical Demands :

    Office environment some time spent on Production Floor or Facility Training Center. Ability to work

    weekends to meet reporting or project deadlines
