We are excited to partner with the Southern Maine Agency on Aging (SMAA) in their search for a new Chief Financial Executive. This role offers a tremendous opportunity during a crucial growth period for the organization.

The Chief Financial Executive will be a pivotal leader responsible for overseeing all financial operations at SMAA. Reporting directly to the CEO, the CFO will work closely with the leadership team and the Board of Directors to create and implement strategic initiatives throughout the organization. This leader will optimize the financial and administrative frameworks essential for navigating a dynamic, results-driven organization poised for significant growth over the next 3 to 5 years.

The CFO will guarantee that effective systems and procedures are in place for seamless program implementation and successful audits. Managing a team of three, the CFO will have authority over accounting, accounts payable, accounts receivable, payroll, and grants management.

Key Responsibilities

Financial Management

  • Analyze, prepare, and present accurate financial reports in a timely fashion; communicate monthly and annual financial statements clearly; oversee all financial, project / program, and grants accounting.
  • Lead the annual budgeting and planning process in collaboration with the leadership team.
  • Manage all accounts, ledgers, and reporting systems to ensure compliance with GAAP standards and regulatory requirements.
  • Establish and maintain internal controls and safeguards for revenue receipt, cost management, program budgets, and actual expenditures.
  • Coordinate audits and ensure legal and regulatory compliance for all financial functions.

Business Planning

  • Develop and implement forward-looking, predictive models and activity-based financial analyses to provide crucial insights into organizational operations and business plans.
  • Oversee organizational cash flow management and forecasting in partnership with managers, ensuring ongoing assessment of program financial efficacy to enhance operational finance systems.
  • Manage and monitor the performance of invested assets according to established policies and investment guidelines.

  • Stay informed on nonprofit audit best practices and both state and federal regulations impacting nonprofit operations, keeping the Finance Committee updated on emerging issues and trends.
  • Create and implement necessary business policies and accounting practices, enhancing the accounting department's procedural manual.
  • Leadership & Communication

  • Effectively communicate and present critical financial information to the senior leadership team and Board of Directors.
  • Collaborate transparently with all external partners, including third-party vendors and consultants.
  • Administer and review all financial plans and budgets; monitor ongoing progress and changes, ensuring senior leadership is informed of the organization's financial health.

    Engage the Finance Committee of the Board of Directors to devise long-term financial strategies and projections.

  • Foster strong internal communications among staff at all levels of the organization, promoting a positive and supportive work environment.
  • Grants Management

  • Oversee a robust grants management and fee-for-service reporting system; ensure adherence to the billing and collection schedule, maintaining steady financial data and cash flow to meet operational needs.
  • Align expenditures consistently with grant and program budgets throughout the funding period; gather financial reporting materials for government and foundation grants.
  • Coordinate and manage contracts and grant agreements, engaging legal counsel as necessary.
  • Uphold the integrity and compliance of governance policies and associated documents.
  • Build and maintain productive vendor, banking, and contractual relationships, serving as the primary liaison with relevant third parties.
  • Evaluate and oversee risk management and insurance matters.
  • Qualifications

  • Bachelor's degree required, with a CPA / MBA or related qualification preferred.
  • 7-10 years of financial management experience.
  • Demonstrated success in prioritizing tasks effectively.
  • Strong organizational and time-management skills, paired with :

  • Robust analytic, organizational, and problem-solving capabilities, enabling strategic data interpretation and informed decision-making.
  • A multi-tasking ability suited to a fast-paced environment.
  • Excellent communication and relationship-building skills, with the ability to prioritize, negotiate, and engage with a variety of internal and external stakeholders.
  • Experience in auditing coordination, reporting, budget development and analysis, accounts payable and receivable, general ledger management, payroll, and investment accounting is essential.

  • Ability and eagerness to translate complex financial concepts for various audiences and work collaboratively with team members.
  • Experience in grants management is a plus.
  • Exhibit a high level of integrity in handling confidential and sensitive information.
