Position Overview
The Planning & Production Manager plays a critical role in ensuring that products flow seamlessly from the design and development stage through production, fulfillment, and final delivery. This individual will oversee vendor relationships, manage logistics with third-party logistics (3PL) partners, and optimize the supply chain for efficiency, cost-effectiveness, and timeliness. As the key link between factories/vendors, the 3PL, and internal teams, the Planning & Production Manager will track production timelines, coordinate inbound and outbound shipments, monitor inventory levels, and drive continuous improvement across all related processes. This role will work across all of Pro Shop’s current and future commercial brands.

Key Responsibilities
  1. Strategic Supply Chain Management
    • Analyze, improve, develop and implement supply chain strategies that align with business goals, ensuring on-time product delivery and cost efficiency.
    • Conduct regular assessments of the supply chain to identify potential risks, bottlenecks, or cost-saving opportunities.
  2. Post-Development Handoff & Purchase Order Coordination
    • Take ownership once a new Purchase Order (PO) is issued, stepping in immediately after designs and samples/art are approved.
    • Initiate and manage communication with factories/vendors, tracking production timelines, clarifying packaging requirements, and confirming shipping details.
    • Maintain accurate records of SKUs, UPCs, poly bag requirements, and box organization to ensure smooth transit and receiving processes.
  3. Logistics & 3PL Collaboration
    • Serve as the primary liaison between internal teams and the 3PL ensuring seamless inbound and outbound logistics.
    • Create and manage POs within the 3PL system, providing timely forecasts of incoming shipments and expected inventory levels.
    • Prepare and share detailed packing lists so the 3PL can efficiently receive, store, and ship products, reducing errors and improving turnaround times.
  4. Inventory Control & Demand Planning
    • Monitor on-hand inventory and sell-through rates for both evergreen and seasonal products, analyzing trends and historical data.
    • Collaborate with the teams to develop demand forecasts, determine reorder points, and drive replenishment strategies.
    • Keep an up-to-date inbound tracking spreadsheet, enabling full transparency for internal and external teams regarding product status.
  5. Vendor & Factory Management
    • Manage vendor invoices and payment schedules in partnership with the finance team, ensuring timely payments that keep production on schedule.
    • Identify opportunities to diversify the vendor base or optimize production timelines, evaluating new suppliers and 3PL partners as needed.
  6. Cross-Functional Alignment
    • Act as a bridge between Product Development, Marketing, Sales, and Finance teams, ensuring alignment on product availability, launch dates, and budgetary considerations.
    • Partner with the Content Manager to organize product photography (studio or lifestyle) for upcoming product releases, ensuring timely visuals for website and marketing campaigns.
  7. Process Development, Optimization & Continuous Improvement
    • Evaluate current supply chain and merchandising processes to identify inefficiencies, recommending and implementing improvements.
    • Develop documentation and standard operating procedures (SOPs) for each stage in the supply chain—from PO issuance to final delivery—to ensure clarity and scalability.
    • Help to develop new processes to fuel business growth into new channels, including wholesale and retail
  8. Budget & Cost Management
    • Collaborate with leadership to set and monitor budgets for production, shipping, and inventory carrying costs, identifying areas to reduce expenses without sacrificing quality.
    • Provide regular forecasts and variance analyses, highlighting potential cost overruns or savings opportunities to the GM and finance team.

Qualifications
Education & Experience
  • Bachelor’s degree in Merchandising, Supply Chain, Business, or a related field (or equivalent professional experience).
  • 3 years of combined experience in merchandising, supply chain, or logistics management, preferably with direct exposure to 3PL operations.
  • Proven track record in vendor management, procurement, and/or production within an apparel, lifestyle, or consumer goods environment.
Technical & Business Skills
  • Familiarity with warehouse/fulfillment software and project management tools (e.g., Asana).
  • Proficiency in Microsoft Office or Google Workspace, with strong Excel/Sheets skills for data tracking and analysis.
  • Experience using e-commerce platforms (e.g., Shopify) for order management and fulfillment.
  • Knowledge of packaging, labeling, and compliance requirements, including SKUs, UPCs, and poly bagging.

Qualifications:
  • 3 years of relevant experience
  • Experience with apparel or CPG brands 
  • Proactive, positive and detail-oriented with strong written and verbal communication skills – you must be able to efficiently articulate a media program to current and prospective clients
  • Knowledge of 3PL systems
  • Experience with Shopify platform
  • Professional and courteous to colleagues and with clients
  • A self-motivator who strives to improve and innovate on the sales offering
