As a Front Office Coordinator, you'll ensure all patients make appointments 100% of the time without having to call back at a later date, work as a team to maintain an arrival rate of 90% or greater, call new patients within 24 hours to schedule initial evaluations, accurately enter patient data, answer incoming calls within 3 rings, collect 100% on co-pays or input an acceptable reason, and greet all scheduled patients by name and with eye contact.
You will provide input to create a pleasant team atmosphere that will emphasize service, friendliness and customer satisfaction and the patients will rave about what "fun" they had while being treated at our facility. Two years from now we'll look back and you will be a key hero who helped transform our business.
Duties:
- All new patients are contacted within 4 business hours of receipt of prescription via fax.
- New patients are scheduled within 48 hours.
- Front door collections at 100%.
- Answer incoming calls within 3 rings with a friendly tone of voice.
- Work as a team to maintain an arrival rate of 90% or greater.
- Enter patient data with accuracy.
- Greet all scheduled patients by name and with eye contact
ROLES AND RESPONSIBILITIES.
- Greet all visitors with a smile.
- Addresses them by name or asks for their name.
- Answer all incoming calls with a friendly tone of voice and a smile.
- Confidently answer inquiry calls about the clinic and what it has to offer.
- Route calls appropriately.
- Keep waiting room in a neat and orderly fashion.
- Maintain a professional appearance during business hours.
- Maintain excellent internal communication.
- Maintain excellent external communication.
- Confidently assists patients.
- Collect money from patients due ProActive Physical Therapy Centers (this does not include collecting from insurance companies)
- Collects all patient co-payments, deductibles, and payments.
- Reconcile collected vs. day sheet vs. deposit with 100% accuracy.
- Promote the value of ProActive Physical Therapy Centers services.
- Maintain schedule of patients for clinicians.
- Enforce patient compliance to scheduled appointments.
- Ensure patients arrive as scheduled.
- Check in patients and notify PT within five (5) minutes of scheduled appointment time.
- Maintain patient confidentiality.
- Handle Administrative tasks.
- Register patients.
- Prepare the New Patients' charts.
- Perform secretarial / Front Office Coordinator tasks related to the Clinic's operation as directed by the Clinic Director.
- Provide secretarial services for the professional staff if required.
- Prepare, organize, and coordinate charts.
- Record daily and weekly stats.
- Proficient with basic computer, fax, copier and telephone operation.
Requirements
Previous experience working in a medical practice is a plus.
Must thrive in a high-energy, fast paced environment.
Must be able to multi-task, answer a multi-line phone and handle patient needs simultaneously.
Must have exceptional verbal communication skills as well as great customer service.
Spanish bilingual preferred!
Job Types: Full-time, Part-time
Pay: $14.00 - $16.00 per hour
Expected hours: 20 – 40 per week
