GUARDIANSHIP ADMINISTRATIVE ASSISTANT
(FULL TIME POSITION)
Job Description:
Seeking experienced guardianship administrative assistant for a full-time position. We are a small public guardianship company located in downtown Mount Clemens.
Responsibilities:
- Provide general administrative support including making/answering/returning telephone calls, drafting letters, scanning, faxing, copying and other directives as assigned by supervisor or supervising attorney.
- Observe all HIPPA regulations; observe legal confidentiality at all times.
- · Open physical and computer files for new clients.
- Manage, prioritize, and monitor status of assigned files; track deadlines and follow up on tasks in a timely manner.
- Prepare Medicaid applications.
- · Execute all forms to DHHS to obtain and maintain food assistance and other benefits.
- · Prepare Social Security Rep Payee applications.
- · Prepare Disability Social Security applications.
- Manage client funds, budget, monthly bills, and personal spending.
- Prepare Annual Reports to the Court; prepare financial forms for Court purposes
- Communicate with clients (including those who may be mentally or emotionally unstable) with the utmost courtesy and respect, understand their needs/concerns and address them to the extent possible.
- Prepare case notes, document telephone activity, document hospitalizations and other important events.
- Communicate with facility staff/nurses/doctors to receive status updates.
- Communicate with family members and interested persons regarding the condition and/or needs of client.
- Communicate with medical and financial institutions to recognize Letters of Authority and changes of address.
- Attend conferences, symposiums, and seminars to advance education.
- Able to lift 20 lbs.
Qualifications:
- Must have integrity beyond reproach, a willingness to work for the betterment of vulnerable individuals and advocate for them.
- High level of professionalism
- Excellent communication skills – written and verbal; no slang.
- Able to avoid escalating conversations and deescalate if possible.
- Ability to handle and monitor status of assigned files; track deadlines and follow up on tasks in a timely manner.
- Attention to detail and solid organizational skills.
- Proficiency in Microsoft Office products (Outlook, Word, Excel, Teams), Adobe Acrobat, Google and Outlook calendars, QuickBooks (helpful but not required).
- Self-transportation and insured
- At least 2 years of experience as Administrative Assistant and/or Case Manager
- Prior experience managing a budget,
- Bonus: Practical experience/insight into government benefits, especially DHHS, Medicaid, Social Security, veterans benefits, and programs for vulnerable, disabled or incapacitated persons is a plus
- Bonus: Trust, MiAble and Special Needs Trust experience is a plus.
- Bonus: Experience with Probate court processes and pleadings (Petitions, Annual Reports, Inventories, Accountings etc.) is a plus.
