Position Overview :
Event Operations Crew Members are responsible for the proper execution of event build and strike tasks in accordance with National Science Foundation policies and procedures. Event Operations Crew Members support the Audio-Visual team to complete outstanding tasks needed to properly prepare the venue for event day operations, break down assets after each event, and assist in special projects. This role assists in event logistics tasks including setting up tables, chairs, table clothes, and table settings based on site layout plans. During events, Event Operations Crew Members will be on call ready to facilitate and support operational tasks.
Key Job Responsibilities :
- Supports meetings and events
- Prepares room configurations
- Knowledge of room configurations such as banquet style, chairs in a circle, classroom cluster pod style, conference style, herringbone style, a hollow square or rectangular style, party style, theater styler, U – shape, or any other special configuration indicated in the CAD floor plan.
- Manages furniture before, during, and after meeting
- Stage risers to be assembled and dismantled as needed and returned to their storage location after events
- Fold and unfold airwalls when needed
- Provide ‘reset’ services by resetting conference rooms into a ‘default configuration’ and adjust / open blinds between meetings
- Default configuration consists of clearing the tables, lowering all conference chairs so they can be uniformly pushed under tables.
- Enter daily service requests tickets for all service requests including daily laborer activities, incidents, and troubleshooting activities into NSF service management reporting systems.
- Report any damage or difficulties directly to the Project Manager and the COR
- Responsible for counting and preparing tablecloths and other items for dry cleaning
- Manages conference room materials
- restocking room supplies as needed, removing easels or flip charts, and other ad hoc requests.
- Manage panel conference room center materials, materials inventory, and organize the storage areas.
- Assists with light maintenance
- Remove leftover catering items in the panel rooms, place them at a kitchenette location, and then notify the customer service representative of its location for pick up
- Collect and provide leftover meeting materials to a MEM Federal employee for disposal.
- Assists in mail center operations
- Performs conference related tasks
- Provides any additional task support upon request
- All other duties as assigned.
- High school diploma or GED required
- Ability to lift 80 pounds and manage large heavy parcels
- Ability to work in a team environment and follow directions
- Ability to pass a comprehensive background check
- Must have hotel experience
- Knowledge of Safety procedures and Regulations
- Must maintain a professional, organized workplace environment at all times
- Maintain a professional appearance
Readily available onsite in the NSF panel conference room center
Knowledge of CAD (Computer Assisted Design)
Items to manage include, but are not limited to : furniture, portable podiums, tables, chairs, flip charts, easels, whiteboards, carts, and provide other conference – related labor for panel conference room.
Clean whiteboards before, and in between, all meetings using Government supplies.
Responsible for handling incoming and outgoing shipments such as deliveries of office supplies.
