The Administrative Assistant provides essential support to the Title Department by reducing daily administrative demands, assisting in the production and distribution of title products, and performing routine clerical tasks. This role ensures professional, timely, and error-free delivery of services while maintaining exceptional customer service to both internal and external clients.
Essential Duties and Responsibilities:
- Assist in producing and distributing professional, accurate, and timely title products.
- Enter new orders and contracts into the production system.
- Assemble files and create file number labels.
- Search for title products in systems such as TIMS, FastSearch, or historical indices, obtaining necessary documents for the title examiner.
- Handle mail distribution, including inter-office envelopes and packages.
- Operate postage meters and deliver outgoing mail daily.
- Manage office supply orders.
- Maintain and file hard copy base files; retrieve files as needed.
- Copy documents using various equipment, including tape machines and copiers.
- Provide front desk support, including acting as backup for receptionists when necessary.
- Deliver outstanding customer service to internal and external stakeholders.
Education and Experience:
- High School Diploma or GED equivalent required.
- 1-3 years of experience in an office or customer-facing role, such as retail or administrative support.
- Proficiency with Microsoft Word and Windows-based programs is required.
Knowledge, Skills, and Abilities:
- Strong attention to detail and flexibility in managing tasks.
- Familiarity with office equipment, including fax machines, copiers, and 10-key calculators.
- Proficient computer skills.
- Exceptional organizational skills and the ability to prioritize effectively.
Physical Demands:
