ADMINISTRATIVE ASSISTANT
Duties include:
- Answer all incoming calls and transfer to the appropriate team member.
- Welcome all visitors to the office and assist with sign-in procedures.
- Perform all mail processing duties. This will include daily pickup of mail, coordination of outgoing packages, and acceptance of all deliveries to the office, as well as distribution of mail and packages to employees and departments.
- Assist with the production of Human Resources (HR) materials, including the personnel handbook and other HR-related documents.
- Coordinate with HR to distribute general information for employee benefits.
- Support all departments in the production of client materials as requested.
- Organize travel arrangements for onsite client visits and other meetings and events. This includes all airfare, hotel, vehicle rental, and PCS transportation.
- Oversee the coordination of PCS transportation. This includes check-in/check-out procedures for company-owned vehicles and scheduling drivers.
- Ensure the PCS calendar is up to date with all travel events, meetings, and other relevant information.
- Schedule all PCS vehicle maintenance. See the Vehicle Maintenance checklist.
- Provide assistance with logistics as requested by the marketing department for conferences, remote meetings, or other events.
- Update customer information in the Customer Relationship Manager (CRM) and keep all client lists up to date with any changes.
- Assist with processing client requests for donations for annual meetings, sponsorships, and employee prize donations as directed by the marketing department.
- Participate in planning for company meetings and events.
- All other general office administrative duties as assigned.
Education and Experience:
- A two-year associate's degree in general studies is preferred or experience in customer service.
Required Qualifications:
- Computer experience with Microsoft Office (PowerPoint, SharePoint, Excel, Word, etc.) and Internet Browsers.
- Excellent oral and written communication skills.
- Great interpersonal skills.

Physical Requirements
- Sufficient hand, arm, and finger dexterity to operate a computer keyboard and mouse, typewriter, 10-key adding machine, and other office equipment.
- Visual acuity for reading words and numbers from a paper or computer screen.
- Speaking and hearing ability sufficient to communicate in person and over the phone.
- Ability to lift 15 pounds.
