Job Summary:
Under limited supervision and guidance, performs a variety of detailed accounting duties in accordance with Generally Accepted Accounting Principles. Responsibilities include posting payments received in the mail for 4 different companies, managing the bad debt analysis and write off process for PRCA/HOF membership and Sponsors, reconciling detail Rodeo A/R accounts to trial balance and preparing adjustment entries to correct. Will be considered a super user in the computer Sponsorship, Point of Sales, donor, and A/R systems.,
Essential Duties:
- Based on established schedule, processes receipts for cash received, researches any payment discrepancies with billing staff and ensures proper postings.
- Manage the bad debt analysis and provide recommendations on write-offs to ensure compliance with bad debt and write-off policy. Maintains and updates the bad debt and write-off policy in accordance with best accounting practices and industry standards.
- Responsible for the reconciliation between Rodeo, Museum and Sponsor related A/R and the trial balance and works with various managers to correct accounts as needed.
- Take a lead role in the conversion and upgrade of the A/R system, serving as a resource to others as needed and would be considered a super user for the different accounting software systems and databases.
- Reconcile the various data systems, identify corrections as needed to the appropriate manager, and identify and implement process changes when warranted.
- Forecast and trend rodeo, sponsorship, donor and unrelated business revenues, to identify for year-end audit processes.
- Lead the 1099 reporting for rodeo committees, including testing IRS for SS# accuracy, testing PRCA’s Rodeo Committee 1099/1042 reports, testing automation for accuracy, serving as lead when committees receive IRS letters with corrections needed.
- Submit withholding payments for committee payments, after ensuring accuracy to meet contractual and IRS standards.
- Handles Foreign Contestants exemption withholding rules and state withholdings on prize money.
- Serve as a contact for IT and accounting reporting needs and to facilitate automation of reports to ensure timeliness and accuracy.
- Posts all payments sent directly to PRCA Headquarters, making sure the correct company and account receive proper credit for the payment.
- Work with other departments to solve discrepancies between accounting systems and the departments’ records and make recommendations for process changes.
- Performs other job-related duties as assigned.
Knowledge/Skills/Abilities:
- Bachelor’s degree in accounting, or related business field and 4-years’ experience with accounts receivable or general accounting. Additional experience may be considered in lieu of degree.
- Previous accounting software programs experience preferable in Acumatica, CRX, Donor Perfect and Neon1.
- Knowledge and practical use of basic accounting principles.
- Strong analytic abilities.
- Proficient in Microsoft Office Suite.
- Ability to work in a fast-paced environment with competing priorities.
- Excellent attention to detail.
- Excellent interpersonal and customer service skills.
- Ability to work independently on assignments that are moderately complex in nature.
