Client Billing and Vendor Management Specialist
The Client Billing and Vendor Management Specialist is responsible for the processing of client billing and accounts payable for multiple firms within the Company. This person is responsible for ensuring accurate and timely billing processes, efficient accounts payable operations, and compliance with relevant financial regulations.
This position reports to the Company’s Vice-President of Finance
Key Responsibilities:
- Billing Management:
- Prepare invoices based on client contracts, work orders or service agreements. Verify pricing and any additional charges or credits. Ensure all necessary information, such as billing addresses, payment terms, and work order numbers, are included.
- Coordinate with firm management to ensure billing accuracy and resolve any billing discrepancies or issues.
- Apply cash receipts/deposit against the applicable open invoices, including the processing of credit memos approved by firm management.
- Reconcile accounts receivable to the general ledger on a regular basis.
- Follow-up on open invoices as instructed by firm management.
- Assist with the calculation of month-end accruals of revenue earned, but not yet invoiced.
- Accounts Payable Management:
- Process vendor invoices invoice processing, including the input of vendor contact information, terms, required approvals and account coding.
- Ensure adherence to payment terms, resolve payment-related inquiries, and maintain positive relationships with vendors.
- Reconcile accounts payable to the general ledger on a regular basis.
- Assist with the calculation of month-end accruals of expenses incurred, but not invoiced.
- Assist with initiatives to streamline client billing, vendor management and enhance efficiency.
Key Responsibilities:
· Prior experience in client billing and vendor payables
· Superb written and verbal communication skills
· Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
· Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
· Ability to keep company confidences
