Job Summary
The Project Coordinator is a support role that is responsible for the intake of sales orders and the scheduling of construction jobs. The role involves coordinating with internal teams, customers, and vendors to ensure projects are executed efficiently and on schedule.
Key Responsibilities
Sales Order Intake:
- Receive and review sales orders for accuracy and completeness.
- Input and manage sales order data in the company's project management system, Microsoft Dynamics.
- Communicate with the sales team to resolve any discrepancies or missing information in the orders.
- Assist in creating and maintaining job schedules, ensuring that resources and timelines are aligned with project requirements.
- Jobs are to be scheduled based off the requested dates the builder provides via text message, phone call, email, and builders schedules (portals)
- Coordinate with customers and internal teams to confirm job dates and any necessary preparations.
- Monitor the progress of scheduled jobs and update the schedule as needed.
- Serve as the primary point of contact for customers regarding scheduling and order status.
- Provide timely updates to customers and internal stakeholders regarding project timelines and any potential delays.
- Maintain clear and accurate communication logs.
- Documentation and Reporting:
- Maintain detailed records of all project-related communications and documentation.
- Generate regular reports on project status, job schedules, and order intake for review by the project management team.
- Identify and escalate issues or delays that may impact project timelines.
- Assist in finding solutions to scheduling conflicts or resource shortages.
