We are seeking to fill an Executive Administrative Assistant at our Solon, OH office. The Executive Administrative Assistant provides essential support to the Executive Chairman and to ensure the smooth operation of the office. This role involves a variety of administrative tasks including managing schedules, coordinating meetings, ensuring efficient office operations, and assisting other executive team members with various projects. The ideal candidate will be highly organized, detail-oriented, and able to handle sensitive information with discretion.

Duties and Responsibilities:
  • Manage and maintain Executive Chairman’s schedule, including appointments, meetings, and travel

arrangements.

  • Provide support for other executives as needed
  • Prioritize and coordinate requests for meetings, ensuring effective time management.
  • Serve as the primary point of contact between Executive Chairman, other executives and

internal/external stakeholders.

  • Draft, edit, and distribute emails, memos, and other communications as needed.
  • Prepare presentations as needed.
  • Organize and coordinate meetings, including logistics, agendas, and follow-up actions.
  • Plan and coordinate travel itineraries, including flights, accommodations, and transportation.
  • Prepare travel expense reports and manage reimbursements.
  • Assist in the planning and execution of special projects and initiatives as assigned.
  • Maintain organized filing systems and ensure all documents are up to date.
  • Order office supplies and manage inventory as needed.
  • Handle sensitive information with discretion and maintain confidentiality in all communications.

Skills and Experience:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in business administration or a

related field preferred.

  • Minimum of 8 of experience in an administrative support role, preferably supporting executive-level

staff.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Demonstrated ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to think critically.
  • High level of professionalism and a positive attitude.
