What are the responsibilities and job description for the Scheduler position at Project Hope Foundation?

Multiple Locations - Greenville and Greenwood, some travel between locations is required but one can be chosen as primary working location.

Project Hope Foundation (PHF), a leading provider of services for children and adults with autism spectrum disorder, is actively seeking a detail-oriented individual interested in a full-time position as a Scheduler. The only nonprofit provider of Applied Behavior Analysis (ABA) therapy in Upstate South Carolina, PHF offers a range of clinical and educational programs designed to meet the needs of our more than 200 clients and students, creating a flexible, fast-paced, and collaborative environment for employees.

Job Description:

As a member of PHF, the Scheduler works as a member of the Operations team, receiving direction from and reporting to the Scheduling Coordinator. Working closely with the Clinic Coordinators at each location and the Scheduling Coordinator. The Scheduler supports all daily scheduling aspects of the clinics they are responsible for as well as in-home locations through data entry and regular communication with families and employees. The expected workday is Monday - Friday, 7:00 am to 3:00 pm, alternating time onsite between clinics. Growth opportunities are available.

Job Responsibilities:

  • Plans and executes schedule changes and ongoing team updates, including new hire placement, new client placement, Senior Therapist caseload assignments, client schedule/location change requests, and therapist availability change requests
  • Oversees all communication with employees and families for approximately 50 - 75 clients regarding daily and weekly fill-ins, daily and weekly cancellations, and site/organizational schedule changes
  • Maintains all changes and data related to schedules within the PHF database, including daily appointment adjustments, service codes, labeling, applicable notes, recurring appointments, parent training/team meetings, etc.
  • Maximizes billable hours per client authorization through regular evaluation of individual client schedules, fill-in reports, and organizational schedule changes
  • Collaborates with clinical leadership at their specific site on a monthly basis to evaluate and adjust scheduling and teams as applicable
  • Attends all clinic specific meetings, providing scheduling updates and training as relevant to content of meetings
  • Monitors all employee time-off requests specific to the site, determining blackout days and communicating this information when applicable
  • Monitors and collaborates with PHF Training Coordinator on the scheduling of internal clinical training needs in conjunction with client schedules
  • Ensures all scheduling data related to a specific site is up-to-date, adjusting all data appropriately and in a timely manner
  • Maintains data related to internal site-specific employee and parent email groups and contact information for all clients for the respective site(s)
  • Provides coverage for co-workers at other sites as applicable
  • Supports the Operations employees with office work and reception duties as needed

Job Requirements:

  • High School Diploma or the national equivalent (GED HiSET, TASC); Bachelor’s Degree preferred
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy
  • Proficient in or ability to successfully be trained in Microsoft Office Suite, Podio, CentralReach, and Google Suite
  • Ability to prioritize and carry out multiple tasks in a changing work environment
  • Ability to maintain strict confidentiality
  • Positive attitude and ability to work within a team environment
