What are the responsibilities and job description for the Operations Coordinator position at Project Kinship?
Position Summary: Reporting to the Administrative Manager, the primary responsibility of the Operations Coordinator is ensuring organizational effectiveness by implementation of the organization's daily operations.
The Operations Coordinator will focus on improving operational systems, processes and policies in support of organization’s mission -- specifically, support better management reporting, information flow and management, business processes and organizational planning. The Operations Coordinator will work to manage and increase the effectiveness and efficiency of service delivery as well as the coordination and communication between support and business functions.
Essential Functions/Responsibilities
- Will have a broad understanding of Project Kinship’s programs which involves mental health services, substance use disorder treatment, diversion programs for individuals in the criminal justice system, housing-related assistance, case management, peer support, recovery services, life skills, job skills training and civil legal services.
- Understands program line items and general ledger codes
- Works closely with the directors, staff, interns, and volunteers to ensure smooth daily operations and excellent client services
- Maintains continuous lines of communication with directors and staff
- Administer organizational policies and procedures
- Ensures adherence to organizational security and privacy policies
- Provide program administration support for grant-funded or contracted programs, including budgets, purchasing, expense reimbursements, room reservation, vehicle management, training support, reports, and record-keeping
- Problem solves with program staff on matters related to IT, office space, and purchasing
- Manages office operations, cash equivalences, petty cash, and asset
- Assist in audit support and vendor management
- Support in planning and the implementation of Project Kinship events
- Ensure accuracy of records and supporting documents on the server and on designated software
- Attends and conduct meetings and trainings as required
- Create program printed and digital flyers and other resources
- Assists with general administrative duties as needed
- Travel to and from headquarters to the YTP office daily
- Support in transporting participants
- Other duties as assigned.
Education and Experience
- Must have experience with Microsoft Suite and Canva
- Preferred IT problem-solving skills related to office technology and software
- Background Check Requirement: The successful candidate for this position will be required to pass or clear two background checks. The first background check will be conducted by Project Kinship as per our policies and procedures. The second background check will be conducted by Funders through our contracted vendors, after the candidate is hired with Project Kinship, in accordance with our contractual agreements. Failure to pass either of these background checks may result in the withdrawal of the job offer or termination of employment.
- Tuberculosis (TB) Clearance: The successful candidate for this position will be required to provide documentation of a clear TB (tuberculosis) test or shot, in compliance with Project Kinship’s policy. Failure to provide proof of TB clearance may result in the withdrawal of the job offer or termination of employment.
