What are the responsibilities and job description for the Accounts Payable Assistant position at Project QUEST, Inc.?
The Accounts Payable Assistant (APA) is responsible for accurately filing all support for payments in a paperless environment. In addition, the APA will prepare payment files for grantors. The APA will back-up the Accounting Technician by maintaining accounts payable records, assess invoices and process invoices. The APA may need to prepare journal entries.
Job Duties
1. Maintain accurate support documentation for invoices paid via virtual filing cabinet and other media.
2. Weekly prepare pdf files for all transactions paid or journal entries made by respective funder, i.e., funder folder.
3. Create vendors.
4. Create identification numbers for new participants.
5. Update files, as needed.
6. Cross trained in processing Accounts Payable transactions for payment.
7. Support with administrative tasks.
8. Maintain confidentiality.
9. Perform other duties as assigned.

Minimum Education and Experience
- Associate’s degree or equivalent experience in accounting, finance or business.
- 2 years technical experience working with accounts payable, filing in a paperless environment and organizing support documentation.
- Working knowledge of accounting/financial software systems, federal, state and local regulations/fiscal requirements.
