We're excited to welcome a new Corporate Office Administrator to our team! As our Administrator, you'll be responsible for managing various administrative tasks, coordinating office activities, and providing support to the executive team and employees. Our ideal candidate is an excellent communicator with strong attention to detail and the ability to multitask effectively in a fast-paced environment.

Oversee the daily operations of the corporate office, including maintaining office supplies, managing facilities, and coordinating with vendors for office maintenance and repairs

Provide administrative assistance to executives and office staff members, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence and presentations

Serve as the primary point of contact for the corporate office, welcoming visitors, answering incoming calls, and directing inquiries to the appropriate individuals

Maintain a professional and welcoming office environment.

Manage and organize company documents, records, and files, ensuring proper filing systems are in place and information is easily accessible; maintain confidentiality and handle sensitive information with discretion

Assist in the planning and coordination of company events, meetings, and conferences, including arranging venues, catering, and logistics; provide support during events to ensure their success

Assist with financial tasks such as processing invoices and managing expense reports; collaborate with the finance department as needed

Coordinate with the IT department to ensure that office equipment, computers, and software are in working order
- Support both reoccurring and special projects — data entry and event attendee tracking, as well as planning support and agenda development for Corporate-hosted events and programs

Develop and update office administrative procedures as necessary

- Proven experience in office administration or a similar role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software; previous experience with Teams, Concur, and HRIS is a plus
- Excellent organizational and time management skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in all work performed
- Strong verbal and written communication skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong problem-solving skills and the ability to work independently or collaboratively
- Demonstrated commitment to continuous learning, with a proactive approach to acquiring new, relevant skills
- Professional demeanor and strong interpersonal skills
