Position Overview
We are seeking a passionate and detail-oriented Event Sales Coordinator to join our team. This role will support our events department by coordinating sales efforts for meetings, social gatherings, and special events, while ensuring exceptional service to clients throughout the planning process.
Key Responsibilities
- Support the Events team with administrative tasks including client correspondence, contracts, and file management
- Respond to event inquiries and coordinate with appropriate team members for site visits and consultations
- Assist in creating detailed event proposals, contracts, and banquet event orders
- Conduct property tours and showcase event spaces to potential clients
- Maintain and update the hotel's event management system with accurate client information
- Coordinate with catering, culinary, and operations teams to ensure seamless event execution
- Track and analyze event performance metrics and competitive market information
- Assist with post-event follow-up and client satisfaction assessments
- Identify upselling opportunities for add-on services and amenities
- Support the development of event marketing materials and promotional initiatives
- Other duties as assigned
Education
- Bachelor's degree in Hospitality Management, Event Planning, Marketing, or related field
Qualifications
- 1-2 years of experience in hotel event sales, catering sales, or related field preferred
- Strong understanding of event planning processes and hotel operations
- Exceptional interpersonal and negotiation skills
- Detail-oriented with excellent organizational abilities
- Proficiency in Microsoft Office Suite and experience with event management software
- Knowledge of food and beverage service standards and menu planning
- Ability to build and maintain client relationships
- Self-motivated with a proactive, solutions-oriented approach
- Flexibility to adapt to changing priorities in a fast-paced environment
Physical Requirements
- Ability to work in an office environment for extended periods
- Standing and walking throughout the hotel property during site tours and events
- Occasional lifting and carrying of event materials and samples (up to 25 pounds)
- Visual acuity to review detailed floor plans and event specifications
- Ability to communicate effectively in person and via telephone
