Job Summary:
As an Administrative Assistant, you will play an integral role in supporting the day-to-day operations of our property management and real estate office. You will work closely with our team to ensure smooth office functions, assist with tenant and client inquiries, and contribute to various administrative tasks to keep the office running efficiently.
Key Responsibilities:
- Answer phone calls and respond to emails, directing inquiries to the appropriate staff member.
- Maintain and organize office files, both digital and physical, ensuring all documents are up to date and accessible.
- Assist in scheduling appointments, property showings, and meetings.
- Coordinate maintenance requests and follow-up with vendors and tenants.
- Prepare and proofread letters, memos, reports, and other documents.
- Handle tenant billing, rent collection, and process payments.
- Assist with property marketing, including updating listings and preparing marketing materials.
- Manage office supplies, order equipment, and track inventory.
- Ensure all correspondence and documentation comply with company policies and legal requirements.
- Provide general office support to property managers, real estate agents, and other team members as needed.
- Keep work area neat, clean, and tidy.
Qualifications:
- Previous experience in an administrative or office support role, preferably in real estate or property management.
- Strong communication skills, both written and verbal.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and other office software.
- Knowledge of property management software is a plus.
- Ability to work independently and collaboratively as part of a team.
- Professional demeanor and customer service-oriented attitude.
- High school diploma or equivalent required; college degree is a plus.
