Primary Purpose:
Coordinate the training and support for campus staff that is supported by the PEIMS Department. Serve as the liaison between the Student Information Specialists and the Director of PEIMS. Facilitate training for Student Information Specialists and oversee all processes conducted for campus support.
Qualifications:
Education/Certification:
High School diploma or GED
Special Knowledge/Skills:
- Proficient in the use of school administration software (Skyward preferred)
- Advanced skills in Google Workspace and Microsoft Office Suite (Word, Excel, and PowerPoint)
- Strong knowledge of electronic file management systems within a networked environment
- Demonstrated experience in training staff in both small and large group settings
- Excellent organizational, interpersonal, and communication skills with the ability to engage effectively with diverse teams
- Ability to meet tight deadlines and manage multiple priorities in a fast-paced environment
- Proven multitasking abilities with a strong capacity to perform under pressure
- Familiarity with PEIMS Data Standards and their application
- In-depth knowledge of the Student Attendance Accounting Handbook and related policies
- Working understanding of the Texas Records Exchange module Ability to develop, implement, and maintain policies and procedures effectively
- Reliable, flexible, and punctual work habits with a strong sense of accountability
- Self-motivated, proactive, and capable of working independently with minimal supervision
Experience:
Minimum 3-5 years of experience in school district administrative or campus support position
Experience using a Student Information Software Program
Major Responsibilities and Duties:
Student Support:
1. Coordinate and lead the team of Student Information Specialists and serve as the primary resource for questions and issues that arise.
2. Develop training plans to support campus staff to include structured training schedules, creation and maintenance of training materials and evaluation of training effectiveness.
3. Oversee and implement comprehensive training and support to campuses registrars, data clerks, and attendance clerks with student related data (including but not limited to enrollment and registration, attendance, scheduling, report cards, transcripts, special program coding).
4. Oversee the addition and maintenance of addresses in the Student Information Software address master to ensure proper placement of students in the district.
5. Maintain all boundary override codes as it relates to student’s school pathing.
6. Collaborate with PEIMS Coordinator to establish high quality data standards at the campus level to facilitate accurate data for PEIMS submissions.
7. Partner with PEIMS Coordinator to ensure accurate attendance standards and record keeping are maintained in the district.
8. Assist in reviewing and developing enrollment documents and processes.
9. Coordinate with other departments to ensure effective streamlining of processes as it relates to those departments and campus staff that are supported by the PEIMS Department.
10. Maintain supported campus personnel staffing and contact information lists.
11. Serve as a liaison between the team of Student Information Specialists and other district departments and campus administration.
12. Attend related conferences, training, and meetings as needed.
Records and Reports:
13. Monitor and review the transfer process for student records both in and out of the district via the Texas Records Exchange and other methods.
14. Oversee campus staff in the records management practices for student records in the Laserfiche student repository, including cumulative records.
15. Monitor and review campus student data utilizing our Student Information Software’s reports and functions.
Other
16. Comply with policies established by federal and state law, State Board of Education rule, and local board policy.
17. Compile, maintain, and file all physical and computerized reports, records, and other documents required according to Texas Records retention standards.
18. Collaborate with the Director of PEIMS and PEIMS Coordinator to develop department plans, responsibilities and goals. 19. Conduct responsibilities in accordance with customer care principles.
20. Maintain confidentiality to ensure data is secure.
21. Perform other duties as assigned.
22. Follow district safety protocols.
