What are the responsibilities and job description for the Ocean Import Specialist position at Proworks Services, Inc?
Role & Responsibilities
- Maintain internal email communications, documentations such as (HBL, MBL, ISF, P / L, C / I, 3461,7501 ABI and ETC) All correspondences, relevant to a specific job file, must be kept in the job file at all times.
- Perform credit check on all files according to OTX credit control policy and escalate irregularities where appropriate.
- Ensure OTX quote is on file including Cost and Sell rate to client.
- Ensure all filing, both physical and electronic, is done regularly, tidily and accurately.
- All actions must be recorded on the job files.
- Monitor requests and issues-including confirmation of receipt of A / N, invoices, and etc.
- All emails must be answered within the same working day.
- All communications via telephone, e mail, Facsimile etc. are to be handle in a professional manner, as this reflects our company (we are here to build close and strong relationships with all our Customers, Overseas agents and Service providers) example : email etiquette Hi, Hello, Dear etc.
- Updating import statuses to overseas agent and customers (Updating clients of arrival should be at least days prior to arrival).
- Making sure BOL’s are surrendered, express release or originals are required (Bank Release).
- Assisting and advising customers of arrival, clearance, delivery schedule via email.
- Resolve issues for customers independently.
- Ensure Customs Clearance is submitted to the brokerage team 5 days prior to arrival to destination.
- Requesting competitive delivery rates.
- Maintain quotes and communication from carrier / vendor.
- Update delivery schedules accordingly to all parties involved.
- Maximize profitability on all files handled as well as to be cost conscious at all times.
- Make sure all cost and sell rates are updated and entered in system.
- Invoice must be completed and issued to customer within 5 days of delivery.
