Summary
PCI is seeking a responsible Contracts and Business Development Manager to join our
team in Sebastopol. Primary responsibilities will involve the development and
management of contracts and subcontracts, assistance in the preparation of
proposals, cost estimates and statements of qualifications, workload forecasting,
schedule and budget management, marketing oversight, client relations and aid in the
overall efficiency of the consulting and construction groups as a whole.
The ideal candidate will be highly organized, self-motivated team player, detail
oriented, possess strong analytical skills, and be adept at contract management and
business development. Previous experience in a design/construction firm and/or
familiarity with facilitating design projects is a requirement. This is a full-time, hybrid,
salaried position with a minimum of 3 days per week in the office required.
Reports to: Candidate will report to COO and CEO and work closely with financial
controller, group managers and leadership team.
Responsibilities

Contract Management
Develop, review and provide quality control on all PCI contracts both internal
and external
Support project managers with subcontract development for outside consultants
and vendors
Analyze contracts for risk exposure including indemnification clauses, limits of
liability, insurance requirements, etc.
Work with insurance providers and brokers to obtain certificates and bonds
Work with COO, CEO, managers and clients on negotiating contract terms
Manage and update existing contracts (extensions, close-out, etc.)
Stay up-to date with California law and legislative changes
Business Development
Review requests for proposals and identify viable options for potential work;
summarize opportunities and present to leadership team
Outreach to new potential clients and existing clients
Develop SOQs and supporting materials
Support consulting and construction teams in developing proposals, helping with
bids, and cost estimates
Document Formatting
Ensure all outgoing documents conform to PCI internal standards and there is
consistency in deliverable formats for proposals, contracts, and other documents
Support the company at large and provide guidance to ensure all documents
are formatted correctly and current templates are being used
Workload Forecasting and Management
Work with project managers to ensure deadlines, budgets and conditions
described on contracts are being met and manage changes to fee schedules
and timelines
Maintain organized system of digital records
Support Design Group Manager and COO with ongoing maintenance and
updates of design group schedule and forecast
Marketing Oversight
Help guide social media posts and website updates
Assistance with conference and workshop showings
Support COO & CEO
Work with COO and CEO on development of internal policies as needed
Assist COO and CEO on recruitment efforts
Requirements and skills
Bachelor’s degree with business or law related focus of study
Minimum 7 years work experience in a design or construction firm facilitating
design and/or construction projects
Knowledge of legal requirements involved with contracts
Ability to manage multiple jobs simultaneously
Ability and willingness to respond to last minute requests and meet deadlines
Experience managing complex schedules and budgets
Self-starter, creative problem solver, critical thinker
Strong analytical and organizational skills
Keen attention to detail, with an ability to spot errors
Excellent verbal and written communication skills
Proficient in MS Suite and Bluebeam and scheduling software
Ability to format documents with ease and a good sense of graphics
Ability to work well with staff, managers, executives, external partners and clients
Ability to sit for periods of time and use a keyboard
Salary & Compensation
This is a salaried, full time, management position with benefits, including: health, vision,
dental and life/AD&D insurance, Safe Harbor 401k Plan, paid holidays and discretionary
time off. Salary range $110-145k annually depending upon experience.
