Overview:

The Executive Office Assistant plays a crucial role in supporting the daily operations of adult residential facilities. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will assist executive leadership in administrative tasks, communication, and coordination of activities that ensure the smooth functioning of the facility.

Key Responsibilities:

Administrative Support:**

Provide high-level administrative support to the Executive Director and other senior staff.

Manage calendars, schedule meetings, and organize travel arrangements.

Prepare and distribute meeting agendas, minutes, and relevant documentation.

Communication:**

Serve as the primary point of contact for internal and external communications.

Draft emails, reports, and correspondence on behalf of the executive team.

Maintain confidentiality of sensitive information and communications.

Documentation and Record Keeping:**

Ensure accurate and timely filing of documents and records, both electronic and physical.

Assist in the preparation of reports, presentations, and other materials as needed.

Maintain up-to-date knowledge of facility policies, procedures, and regulations.

Facility Coordination:**

Assist in coordinating activities and events for residents and staff.

Support recruitment efforts by scheduling interviews and managing candidate communications.

Liaise with other departments to facilitate smooth operations and communication.

Financial and Budgetary Assistance:**

Help manage budgets and track expenditures related to office operations.

Process invoices, manage petty cash, and assist with financial reporting.

Compliance and Quality Assurance:**

Assist in maintaining compliance with state and federal regulations governing adult residential facilities.

Support quality assurance initiatives and contribute to continuous improvement efforts.

Qualifications:

Education:** Associate degree or higher in business administration, healthcare management, or a related field preferred.

Experience:** Minimum of 2-3 years of administrative experience, preferably in a healthcare or residential facility setting.

Skills:**

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and various office software.

Strong organizational and time-management skills.

Excellent written and verbal communication abilities.

Ability to handle sensitive information with discretion.

Familiarity with regulations governing adult residential facilities is a plus.
