Executive Assistant to the CEO Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills and the ability to manage multiple tasks efficiently. This role requires a strong understanding of office operations, accounts receivable and accounts payable (AR/AP) experience, excellent communication abilities, and a commitment to maintaining confidentiality.
Duties & Responsibilities
- Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
- Oversee accounts receivable and accounts payable functions, ensuring timely invoicing, payments, and reconciliations.
- Handle incoming communications through various channels, demonstrating excellent phone etiquette and professionalism.
- Maintain and organize files, ensuring all documents are easily accessible and up-to-date.
- Assist in data entry tasks and maintain accurate records using QuickBooks and other financial software.
- Coordinate event planning for meetings, conferences, and corporate events, ensuring all logistics are handled smoothly.
- Manage the CEO’s Outlook Calendar, scheduling meetings and preventing conflicts.
- Prepare reports, draft correspondence, and perform clerical duties as needed.
- Collaborate with other departments to facilitate communication and project management.
Experience & Qualifications
- Proven experience as an Executive Assistant, Office Manager, or in an administrative role is preferred.
- Strong proficiency in QuickBooks for AR/AP tasks, as well as Microsoft Office Suite (Outlook, Excel, Word, and Calendar management).
- Experience in accounts receivable and accounts payable is required.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks efficiently.
- Familiarity with phone systems, clerical duties, and general office administration is a plus.
- Event planning experience is desirable but not mandatory.
- Strong attention to detail and ability to maintain strict confidentiality.
