Job Overview
We are seeking a motivated and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and excellent customer service. This position requires strong time management skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Duties
- Manage front desk operations, greeting visitors and directing them appropriately.
- Perform clerical tasks such as filing, data entry, and maintaining organized records.
- Handle incoming calls using phone systems, providing information and assistance to clients as needed.
- Assist with scheduling appointments and managing calendars for team members.
- Utilize Google Suite for document creation, spreadsheet management, and communication.
- Support various administrative functions as required to ensure efficient office operations.
- Provide exceptional customer service by addressing inquiries and resolving issues promptly.
- Complete payroll on a weekly basis, Federal and State deposits, along with monthly Union Reports.
- Complete Accounts Payables, Vendor lien waivers and Customer monthly billings.
Experience
- Previous experience in an office environment is preferred, with roles such as clerk, personal assistant, or front desk representative being advantageous.
- Proficiency in data entry and familiarity with clerical tasks is essential.
- Strong time management skills to prioritize tasks effectively and meet deadlines.
- Excellent communication skills, both verbal and written, to interact professionally with clients and colleagues.
- Experience with Google Suite applications is a plus.
- Knowledge of accounting.
