We are seeking a highly organized and professional Administrative Assistant to join our team. In this role, you will serve as the face of our organization, greeting visitors and answering phone calls, while also scheduling appointments and coordinating the schedule of our team. You will be responsible for maintaining a clean and organized front desk area, handling correspondence, and providing information to guests and team members.
Location: Hybrid (Minimum 3 days in person in our Oakland Office)
Hours: M-Th 10:00 am - 7:00 pm, Friday 9:00 am - 5:00 pm
Responsibilities:
- Greet and welcome visitors in a friendly and professional manner
- Answer and forward phone calls
- Handle correspondence and schedule appointments
- Maintain records and supplies
- Ensure that the front desk area is well-organized and presentable at all times
- Book appointments, schedule meetings, and arrange travel
- Manage calendars, send reminders, and handle scheduling conflicts
- Monitor attendance and track the availability of team members
- Communicate effectively with team members and external stakeholders
Requirements:
- Strong customer service and communication skills
- Familiarity with Microsoft Outlook & Office as Productivity Suite
- Excellent organizational and time management skills
- Ability to multitask and handle a variety of tasks simultaneously
