Administrative Assistant
Psychology Partners Group (psychologypartnersgroup.com) is seeking a highly organized, empathetic, and detail-oriented Administrative Assistant to serve as the initial point of contact of our mental health practice and to provide administrative support to our two executives. This is a part-time, remote position (20-25 hours per week) ideal for a self-starter with excellent communication and interpersonal skills.

Job Summary:
As the first point of contact for our practice, the Administrative Assistant plays a vital role in creating a positive and welcoming experience for all who interact with us. This position requires a high degree of emotional intelligence, sensitivity, and discretion, as you will often be communicating with individuals in emotional discomfort or distress. Exceptional organizational skills and the ability to manage multiple tasks efficiently are essential.
Responsibilities:
- Serve as the primary point of contact for all incoming inquiries, responding promptly and professionally to phone calls and emails. All calls and emails must be answered immediately or a response provided within one hour.
- Manage and maintain the complex calendars of two executives, including scheduling appointments and meetings.
- Provide general administrative support, such as preparing documents, and managing correspondence.
- Maintain confidentiality and adhere to HIPAA regulations regarding patient information.
- Demonstrate empathy and understanding when interacting with clients and colleagues, particularly those experiencing emotional distress.
- Proactively anticipate the needs of the executives and provide seamless support.
- Utilize technology effectively for communication, scheduling, and record-keeping.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Exceptional communication skills, both written and verbal.
- Demonstrated emotional intelligence and sensitivity to others.
- Strong organizational skills and the ability to multitask effectively.
- Proficiency in calendar management and scheduling.
- Excellent computer skills, including experience with email, word processing, and other relevant software.
- Ability to work independently and remotely.
- High level of discretion and confidentiality.
- Experience in the mental health field is a plus.
