BEHAVIORAL HEALTH CLERK

SALARY: $14.63
GENERAL DEFINITION: The primary purpose of this position is to provide a variety of clerical support in the day-to-day operation of the Behavioral Health Department and Public Health Nurse.
SUPERVISION RECEIVED: Work is performed under the direct supervision of the Behavioral Health Director.
SUPERVISION EXERCISED: No Supervisory Duties.
DUTIES:
Provides clerical support for the Department.
- Answers phone calls, takes messages and conveys to providers/nursing staff in a timely manner.
- Maintains provider and nurse appointment schedule.
- Notifies patients promptly of appointments by mail and/or telephone contact, as needed.
- Maintains a waiting/recall list.
- Assists patients with the check-in and check-out process, verifying patient registration and required information.
- Assists with patient registration duties such as obtaining, securely storing, and updating patient’s sensitive demographic information.
- Obtains third party billing coverage information; collects and photocopies health insurance cards.
- Responsible for transmitting all third-party billing claims to the Biller.
- Assist with updating medical records, organizing medical records and updating filing system for records retention and disposition in accordance with tribal and federal/state retention and disposition laws.
- Utilizes Electronic Health record for data entry.
- Enters patient documentation including demographics, Did not Keep Appointment (DNKA) data, high risk patient contacts.
- Uses the Electronic Health Record to assemble and submit admission packets for psychiatric hospitalizations, group home placements, and transfers to other health care facilities.
Performs a variety of office management work.
- Develops, adopts, and revises procedures to ensure accurate and complete patient records and program files; makes information readily accessible.
- Assists with routing documents, opens and sorts mail.
- Assists in creating new patient charts, inserting all required forms, copying and transferring patient intake and referral documents.
- Collects all receipts for all travelers and submits to the appropriate department.
Participates in outreach activities.
- Attend staff meetings, tribal program meetings as assigned, events and activities for program representation and health promotion. Record minutes as assigned by the Director
Performs other related duties as assigned by the Director or as necessary.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of clinical office practices and procedures. Knowledge of basic medical terminology and operation of clinical services. Knowledge of general office automation systems, practices and procedures in order to create, store and retrieve data. Proficiency in medical software and Microsoft Office Suite. Ability to handle sensitive patient information confidentially. Attention to detail with excellent organizational skills. Ability to communicate effectively orally and in writing, in both Zuni and English. Additional languages a plus. Strong customer service and interpersonal skills. Strong computer and clerical skills, including familiarity with Microsoft office suite, ability to input and maintain data in spreadsheet format and produce reports using these data.
EDUCATION AND EXPERIENCE: High School Diploma/GED with one (1) year of clinical experience.
LICENSE AND CERTIFICATES: Must have a valid Driver’s License with no DWI/DUI convictions within the past three (3) years and must be insurable for liability purposes. Driving is an essential part of the duties.
- Must have CPR/First Aid/AED Certification or obtain within 90 days of employment.
PHYSICAL DEMANDS: Typically, the employee may sit comfortably to do work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work. Incumbent works with patients, incurring some degree of risk when working with emotionally disturbed and/or substance impaired individuals.
SPECIAL CONDITIONS: Position is subject to Pre-Employment drug testing. Position is Safety Sensitive and will be subject to random drug screening for duration of employment. Must undergo and pass a thorough background/character investigation check including FBI fingerprint check. Work hours may include evenings and weekends. Must be able to maintain confidentiality and confidential information. Must be able to handle stressful situations calmly.
